The role of Medical Secretary within the MRI Division at Lehigh Valley Imaging is a crucial administrative position designed for a full-time, second shift schedule, working Monday through Friday from 3:00 pm to 11:30 pm at the Allentown location. This in-person position involves managing the complete registration process for patients undergoing Magnetic Resonance Imaging (MRI) procedures. The Medical Secretary acts as the first point of contact for patients, ensuring that all necessary information is collected, verified, and accurately entered into the system using the Epic electronic health records platform.
The Medical Secretary plays a vital role in coordinating patient appointments, handling insurance verifications, and providing detailed instructions and educational materials to patients before their MRI examinations. This role requires strong organizational skills, excellent communication, and the ability to work efficiently within a fast-paced medical environment. The Medical Secretary must maintain up-to-date knowledge of policies and procedures related to outpatient registration, order entries, and scheduling to ensure smooth operations within the MRI Division.
Additionally, the Medical Secretary coordinates with inpatient floors for necessary documentation, communicates effectively with Quality Control teams, and ensures the accuracy of scheduling both digitally and on paper. A key responsibility is to answer telephone inquiries courteously and take precise messages when required. This position demands experience in customer service and preferably some familiarity with medical terminology and office procedures.

Job Duties
- Collecting and verifying all demographic, insurance, and medical information from the patient
- Appropriately and efficiently registering patients in Epic
- Updating patient information as necessary
- Collecting and verifying insurance along with any payments due at time of service
- Scheduling and rescheduling appointments properly
- Collecting necessary paperwork and assisting patients when needed
- Providing educational and instructional information to patients prior to their examinations
- Maintaining working knowledge of policy and procedures pertaining to outpatient registration, order entries and scheduling
- Scheduling inpatient studies and coordinating the schedule appropriately and accurately
- Calling inpatient floors to have assessment forms faxed
- Coordinating and communicating with QC in an appropriate fashion
- Ensuring paper schedules reflect changes to the scheduling grid
- Answering phone calls in a polite and courteous manner, screening appropriately and taking accurate messages when necessary
- Taking complete information for CD requests for file room personnel
- Confirming patient appointments and reviewing all pertinent information
