Reliant Pediatrics, a division within Optum, is seeking a Medical Secretary to join their dedicated team in Worcester, Massachusetts. This is a full-time position with a schedule from Monday to Friday, offering shifts either from 8:00 AM to 4:30 PM or 8:30 AM to 5:00 PM. The Medical Secretary plays an essential role in maintaining smooth clinic operations by performing a range of administrative and patient service duties. This role requires attention to detail, strong organizational skills, and the ability to collaborate effectively with healthcare providers and support staff. The Medical Secretary is responsible for verifying and updating patient information, managing appointment scheduling, handling patient inquiries including billing and prescription refills, and documenting all interactions accurately in the electronic medical record system. This position supports the clinical and financial goals of the department by adhering to established policies and Lean process principles.
In addition to administrative tasks, the Medical Secretary manages insurance referrals, processes mail and documentation, and escalates urgent patient issues to the proper clinical personnel when necessary. The role demands flexibility to perform related duties as needed and the ability to multitask in a high-volume environment. Job Duties
- Verifies and updates demographics and other patient information including necessary consent and other documents
- schedules patients accurately according to department protocols and provider preference
- completes patient check-out, coordinates scheduling, and other services as directed
- manages and updates Department Appointment Report
- provides education, estimate preparation, and pre-appointment instruction as needed
- resolves patients' questions regarding clinic schedules and billing concerns
- handles prescription refill requests and reschedules appointments
- accurately documents information in electronic medical record system
- processes incoming and outgoing insurance referral requests
- collaborates with staff, patients, and providers to complete requests and follow-up
- processes in-basket and department pool encounters in Epic
- handles department and provider mail and faxes
- identifies urgent patient-related issues and escalates to nursing, providers or leadership
- complies with health and safety requirements and regulatory agencies
- adheres to department policies and procedures
- participates in learning opportunities and departmental meetings
- maintains regular and reliable attendance
- cross trained to work in team room and check out
- performs other related duties
- multitasks in high-volume setting
