We are currently seeking a full-time Receptionist to join our busy clinic and serve as a key member of our administrative team. This role involves managing all patient communications and interactions across multiple locations in a professional and empathetic manner. The Receptionist will be primarily responsible for coordinating patient scheduling, handling check-ins, managing copay and coinsurance collections, and facilitating seamless communication between patients, clinical staff, and the administrative team. This position requires excellent organizational skills and a friendly, approachable demeanor to ensure every patient’s experience is positive from their initial phone call through the entirety of their care plan.

The Receptionist will play a critical role in maintaining our clinic’s high standards for patient services by efficiently processing new patient paperwork, verifying insurance details, and explaining payment policies clearly. Collaborating closely with other receptionists and front-office personnel, this individual will contribute significantly to the smooth operation of daily clinic activities, enhancing patient satisfaction and supporting the clinical team’s success. Additionally, the role involves using various digital tools such as Google Workspace, Slack, EMR systems, and texting phone systems to ensure effective communication and record-keeping.

Job Requirements

  • High school diploma or equivalent
  • Prior experience in a reception or administrative role
  • Familiarity with healthcare administrative processes
  • Strong communication skills
  • Ability to handle multiple tasks simultaneously
  • Basic computer proficiency with Google Workspace and EMR systems
  • Availability to work full time in Torrance, CA
  • Empathy and professionalism in patient communication

Job Duties

  • Answering phone calls, text messages and emails
  • Communicating with patients regarding scheduling, rescheduling or canceling appointments
  • Taking detailed phone messages for unavailable staff
  • Collecting new patient personal and insurance information
  • Assisting with tracking authorizations for additional visits
  • Helping patients obtain physician-signed referrals as needed
  • Coordinating communication between patient, administrative, and clinical teams
