Currently, Two Trees Physical Therapy & Wellness is seeking a full-time Medical Receptionist for its 3418 Loma Vista Rd location in Ventura. This role is pivotal in maintaining the smooth operation of daily activities within the clinic. The position offers an hourly starting wage of $18.00 and operates on a schedule from Monday to Thursday, 10:00 am to 6:30 pm, and Friday from 8:00 am to 4:30 pm. The Medical Receptionist serves as the initial point of contact for patients, ensuring that everyone who enters the clinic feels welcomed and valued. Beyond just greeting patients, this role involves managing phone communications, scheduling appointments, and liaising between patients and clinical staff to optimize patient flow and satisfaction.
The successful candidate will excel in delivering friendly and professional service, demonstrating exceptional customer relations skills and the ability to multitask in a dynamic healthcare environment. This role requires maintaining a high call-answer rate with timely response to voicemails, abiding by HIPAA policies protecting patient privacy, and collaborating closely with clinical and corporate colleagues. The Medical Receptionist also plays a critical role in escalating patient concerns appropriately to clinical leadership, thus supporting the overall mission of providing excellent patient care. Preferred qualifications include bilingual proficiency in English and Spanish, which enhances communication with a diverse patient population. Job Requirements
- High school diploma or equivalent
- Must be 18 years or older
- Experience with practice management system knowledge
- Experience in patient scheduling and insurance plan understanding
- Front office experience in a physical therapy office is a plus
- Ability to maintain confidential documents
- Strong customer service and relationship building skills
- Ability to multitask in a fast-paced environment
- Prolonged sitting, some walking, bending, stooping, reaching, and stretching
- Sufficient manual dexterity to operate office equipment
- Normal range of hearing and eyesight to perform job functions
Job Qualifications
- High school diploma or equivalent
- Experience with practice management systems and patient scheduling
- Understanding of insurance plans
- Strong relationship building and customer service skills
- Ability to maintain confidentiality of documents
- Strong team player with active listening and communication skills
- Ability to multitask while maintaining a positive and friendly atmosphere
- Bilingual in English and Spanish preferred but not required
Job Duties
- Greets warmly and maintains a friendly, welcoming relationship with all patient care coordinators and external connections
- Clearly communicates with all staff including clinical and corporate employees in a friendly and courteous manner
- Responsible for answering phones and greeting patients professionally and timely, maintaining an over 85% call answer rate and returning voicemails the same day
- Participates in and adheres to HIPAA Policies and Procedures
- Escalates patient issues and concerns to clinical leadership and front office management
- Schedules patient’s initial evaluations and follow-up visits through plan of care
