The Administrative Support Specialist role at Marathon Health centers plays a vital part in supporting the smooth operation of the organization's healthcare services. This position encompasses a variety of front office responsibilities, including reception duties and general administrative support within the department. The role requires interacting with patients and visitors, answering phone calls, assisting with appointment scheduling, and maintaining calendars to optimize the workflow of healthcare providers. Additionally, the specialist is responsible for creating professional correspondence and documents, processing incoming and outgoing mail and packages, maintaining office supplies, and collecting and reconciling payments such as co-pays. The Administrative Support Specialist also assists medical staff by ensuring patient records are properly filed and readily accessible, supports the entry of data into the Electronic Medical Record (EMR) system, and helps maintain compliance with HIPAA regulations by safeguarding confidential information. This role is essential in ensuring that patient appointments are managed efficiently, enhancing patient satisfaction, and supporting healthcare providers’ ability to deliver timely care. Job Requirements
- High school diploma or GED
- 1-3 years of related professional experience in a medical office environment
- proficiency in electronic medical record systems
- strong technical skills with Microsoft 365 applications including Teams, Word, Excel, Outlook, and PowerPoint

Job Qualifications

Job Duties
- Answer incoming calls and validate member status
- greet patients and visitors in person and via telephone
- schedule appointments and manage patient calendars
- notify providers of patient arrivals and monitor service delivery
- comfort patients by addressing their concerns
- maintain patient records and ensure availability of treatment information
- collect co-payments and reconcile cash and credit card payments
- complete prior authorization paperwork and manage referral communications
- maintain a clean and professional front reception area
- assist medical assistants with electronic medical record data entry
- maintain confidentiality and adherence to HIPAA regulations
- perform other assigned duties as required
