The Medical Receptionist, also known as the Care Facilitator, plays a pivotal role within ChenMed by serving as the initial point of contact for patients. This position is vital in creating a welcoming environment where patients feel valued and cared for right from their first interaction with the clinic. The role involves greeting patients, checking them in and out, scheduling appointments, and providing administrative support, all while acting as a patient advocate. A successful candidate must be bilingual in English and Spanish, fluent in both written and verbal communication, to effectively engage with a diverse patient population.
The Care Facilitator is responsible for maintaining the clinic’s front desk operations with exceptional customer service, ensuring patients receive timely appointments, and facilitating communication between patients and medical personnel. They manage patient information with accuracy, verify insurance details, collect copays, and coordinate follow-up appointments and specialist referrals. The position requires proficiency in medical records systems, computer software, and basic IT tools. Beyond administrative duties, the Care Facilitator fosters strong patient relationships by conducting outreach activities such as "love" calls and sending greeting cards for special occasions, contributing to a caring and compassionate healthcare atmosphere.
This role also involves logistics management, including coordinating transportation services for patients and assisting with medication and grocery deliveries. Job Requirements
- High school diploma or equivalent education required
- Minimum of 1 year of work experience in a medical clinic or similar environment required
- Bilingual English/Spanish required
- Ability to communicate effectively in both written and verbal forms in English and Spanish
- Proficient in basic computer skills and software applications
- Knowledge of electronic medical record (EMR) systems preferred
- Ability to provide exceptional customer service
- Detail-oriented with strong organizational skills
- Ability to maintain confidentiality and handle sensitive information
- Ability to multitask and prioritize responsibilities
- Willingness to participate in team meetings and follow management directives
- Ability to travel locally and regionally up to 10% of the time
- BLS certification for healthcare providers preferred
Job Qualifications
- High school diploma or equivalent education
- Graduation from a nationally accredited Medical Assistant program preferred
- Minimum of 1 year of work experience in a medical clinic or similar environment
- BLS for Healthcare Providers preferred
- Bilingual English/Spanish
- Exceptional customer service skills
- Knowledge of medical insurance and EMR systems
- Skilled in operating phones, computers, and software
- Ability to communicate professionally and courteously
- Detail-oriented
- Outstanding verbal and written communication
- Strong listening skills
- Positive and professional attitude
- Proficient in Microsoft Office Suite including Excel, Word, and Outlook
- Willingness to travel locally and regionally up to 10%
- Fluent in written and spoken English and Spanish
Job Duties
- Interact appropriately with patients and record information while greeting, checking-in, checking-out or scheduling appointments
- Conduct lobby checks to ensure organization and cleanliness
- Serve as the gatekeeper for PCP and Specialists schedules, ensuring Top 40 patients are scheduled every 13 days
- Utilize computer equipment and programs to add new patient information, print relevant forms, schedule appointments, respond to emails and generate New Patient packets
- Conduct “love” calls, mail birthday and greeting cards to patients
- Answer telephones, take detailed and accurate messages, and direct messages appropriately
- Communicate information about ChenMed clinical personnel to patients
- Verify patient insurance and collect copays
- Assist with scheduling follow-up and specialist referral appointments
- Escort patients to exam rooms and ensure comfort
- Act as HEDIS champion by providing visibility of HEDIS needs and reporting on hospitalizations
- Present customer service surveys during check out and escalate if needed
- Participate in daily and weekly huddles to provide patient details
- Regulate and monitor transportation aspects including driver’s lists, medication deliveries, and scheduling Uber/Lyft rides
- Maintain confidentiality of patient information and medical records
- Review patient information for completeness and accuracy
- Transmit correspondence by mail, email or fax
- Perform other duties as assigned
