The role of Medical Receptionist at IHA Workplace Health serves as the initial touchpoint for patients and visitors, ensuring a welcoming and professional atmosphere while facilitating efficient operational workflows. Medical Receptionists act as intermediaries between patients and medical staff, streamlining patient intake, appointment scheduling, insurance verification, and billing communications. They are tasked with greeting and assisting patients, managing patient registration and insurance paperwork, processing payments, and maintaining electronic and paper medical records. The successful candidate will also uphold strict confidentiality in compliance with HIPAA guidelines and IHA policies. Job Requirements
- High school diploma or GED or valid work permit for ages 15-17
- 1-2 years of experience in a medical or physician office or customer service environment preferred
- understanding of verification of insurances
- excellent written, verbal and face-to-face communication skills including proper phone etiquette
- proficient in patient care procedures and organizational policies related to position responsibilities
- service-oriented and responsive to customer needs
- proficient in operating desktop and Windows-based systems including EMRs and Microsoft Office
- ability to compute mathematical calculations
- knowledge of medical terminology
- ability to work cooperatively in a team environment
- ability to effectively interact with diverse populations including staff, patients, family members, vendors, and couriers
- ability to cross-train in various practice areas
- good organizational and time management skills

Job Qualifications
- High school diploma or GED or between the ages of 15-17 with a valid work permit from their high school
- 1-2 years of experience in a medical or physician office or customer service environment preferred
- completed coursework in insurance, billing, medical practice education or seminars preferred but not required
- proficient in Windows-based computer systems including electronic medical records, Microsoft Word, Excel, Outlook, and computer navigation
- excellent written, verbal, and face-to-face communication skills
- knowledge of patient care procedures and organizational policies related to the position
- service-oriented with responsiveness to customer needs
- good organizational and time management skills
- ability to compute mathematical calculations
- knowledge of medical terminology

Job Duties
- Greets all individuals arriving at the office courteously and ensures that their needs are met
- obtains necessary patient registration information, verifies patient insurance eligibility, prepares charts for visits, and notifies clinical staff of patient arrival
- accurately completes patient forms, collects payment, and ensures that charges are posted to the billing system
- retrieves and files electronic medical records and paper charts
- answers telephone in accordance with telephone etiquette guidelines, taking and relaying messages
- schedules and confirms appointments based on office protocols
- assists with rescheduling clinics and contacts patients, communicates with leadership for approvals
- sends out necessary new patient paperwork via MyChart or mail
- manages the daily Work Queue
- oversees daily payment and charge posting balancing
- supports overdue report management and patient outreach
- monitors and maintains neat work area and waiting room
- supports other offices and attends meetings and training as assigned
- performs other duties as required
- provides intake and scheduling assistance for refugee patient populations
- communicates with service coordinators and providers to ensure appointment adherence
- responds timely to new patient referrals
- coordinates translation services for non-English speaking patients
- serves as primary contact for refugee patient-related staff
- manages demographic data entry and reporting related to patient intake
- supports digital campaigns by following up on applications and coordinating seminar sign-ups
- and serves as backup to the Medical Reception team as needed.
