Currently, Pediatric Associates is seeking a superior Medical Receptionist with a passion for pediatric care to join their Healthy Kids - Robbinsville location. This full-time role follows a Monday through Friday schedule from 8am to 5pm, with every other Saturday included. The Medical Receptionist position is vital to the patient care experience, acting as the first point of contact for patients and their families. This individual ensures a smooth and welcoming check-in and check-out process, collects payments, verifies insurance, and handles critical administrative tasks that support the clinical team.
The role requires excellent communication skills, attention to detail, and a warm, friendly demeanor to promptly address patient and visitor needs. The Medical Receptionist is responsible for updating patient records, coordinating follow-up appointments, and maintaining confidentiality in accordance with organizational policies and federal regulations, including HIPAA standards. This position also involves operating various office equipment, managing paperwork such as consents and health questionnaires, and ensuring the environment remains organized and professional.
In addition to the typical front desk duties, the Medical Receptionist may occasionally rotate between office and remote work environments and may be required to travel up to 20% to other office locations, supporting the broader Pediatric Associates network. The job demands physical activities such as standing and sitting for extended periods, operating computers, and occasionally lifting up to 10 pounds. The role is both patient-facing and administrative, requiring sensitivity to patient needs and operational efficiency.

Job Requirements
- High school diploma or equivalent
- Minimum 1 year experience in a medical office setting preferred
- Valid driver’s license
- Ability to communicate clearly both verbally and in writing
- Proficient computer skills including experience with document management systems
- Ability to stand or sit for extended periods
- Ability to occasionally lift up to 10 pounds
- Willingness to travel up to 20% to other office locations as needed
- Ability to maintain patient confidentiality
- Ability to follow oral and written instructions
- Ability to work Monday through Friday 8am-5pm and every other Saturday
Job Qualifications
- Minimum of 1 year experience in a medical office setting preferred
- Valid and active driver’s license upon hire and throughout employment
- Ability to learn and practice Pediatric Associates procedures, policies, and protocols
- Proficient grammar, spelling, and verbal communication skills
- Ability to read, comprehend, and follow oral and written instructions
- Knowledge of computer and medical terminology desired
- Effective interpersonal skills to support staff and maintain professional relationships
- Provide excellent customer service with a friendly and professional demeanor
- Maintain professional phone skills and etiquette
- Use good judgment and maintain patient confidentiality
- Ability to file alphabetically and numerically
- Experience using computer systems, scanners, printers, and fax machines
Job Duties
- Check-in patients upon arrival, update demographics, insurance information, primary care provider, pharmacy details, collect co-pays and patient balances, provide consents for signatures and health questionnaires
- Check out patients, collect additional balances, provide visit summaries, specialist referral information, patient portal details, completed forms, and follow-up appointments
- Verify patient insurance through batch eligibility or on demand, contact patients with inactive insurance or inappropriate primary care providers
- Post patient charges and payments, complete charge and payment reconciliation
- Scan and upload documents through the document management system
- Sort and deliver mail and prior authorization documents received by courier
- Maintain a clean work area and patient waiting area
- Participate in staff and educational meetings
