The role available is for a Medical Receptionist located in Central Jersey, joining a rapidly expanding team within this respected multi-specialty healthcare organization. The Medical Receptionist plays a critical role as the first point of contact for patients and visitors, setting a welcoming and professional tone that reflects the high standards of the practice. Candidates in this role must demonstrate strong customer service skills and perform effectively under pressure, handling a variety of administrative and clinical support functions with accuracy and empathy.

Medical Receptionists work closely with healthcare providers and support staff, managing check-in and check-out procedures, maintaining patient records in electronic medical record systems such as Epic, scheduling appointments for new and returning patients, and assisting in clinical settings by rooming patients and taking vital signs. The receptionist is also responsible for communication tasks including answering calls about appointments, prior authorizations for imaging or medication refills, as well as ensuring the front desk and reception area are well organized and properly stocked with necessary office and medical supplies. This role requires attention to detail in clerical activities such as scanning charts and managing follow-up communication with patients.

Job Requirements

  • High school diploma or equivalent
  • At least one year of experience as a medical receptionist or medical assistant preferred
  • Strong organizational skills
  • Excellent interpersonal and communication abilities
  • Ability to follow office protocols and procedures
  • Proficiency in using computer systems and software
  • Must be COVID-19 vaccinated and boosted or have a qualified exemption
  • Ability to work Monday through Friday daytime shifts

Job Qualifications

  • High school diploma or equivalent
  • Experience with electronic medical record systems such as Epic preferred
  • Strong customer service and communication skills
  • Ability to work well under pressure and multitask
  • Basic knowledge of medical terminology preferred
  • Ability to operate standard office equipment and computer applications
  • Prior experience in a healthcare or medical receptionist role preferred

Job Duties

  • Greet patients and vendors
  • Obtain and enter patient demographic information into the Epic System
  • Check patients in and out
  • Room patients, take their vital signs and input into the EMR System
  • Schedule appointments for return and new patients
  • Review any documents given to patient by provider
  • Answer any incoming calls regarding scheduling appointments or prior authorizations for imaging or medication refills
  • Assist the providers in procedures
  • Follow daily routine opening checklist and closing checklist
  • Make sure each patient room is fully stocked
  • Keep front reception area clean and organized
  • Inform office manager if the office is running low on any office or medical supplies
  • General clerical duties include but not limited to scanning charts into the EMR system, follow up calls to patients, use of email, phone, computers, and Google Apps
