The position available is for a Medical Receptionist I, based in the OB/GYN clerical department, working full-time for 40 hours per week. The role serves as the first point of contact for patients and external customers, both in person and over the phone. The Medical Receptionist is paramount to the smooth operation of the office, acting as a liaison between patients and medical staff, supporting patient services, and facilitating efficient workflow and billing processes.

In this role, the Medical Receptionist greets patients courteously, obtains and verifies patient registration and insurance information, schedules and confirms appointments, and assists with payment collection and data entry into electronic medical records (EMR) systems. The receptionist must ensure that all charges are posted accurately to the billing system and manage the patient flow through the office in accordance with organizational protocols. Attention to detail is critical, particularly in completing patient forms, managing work queues, and assisting with overdue report management and patient outreach when necessary. Additional responsibilities may include preparing charts, handling correspondence, and maintaining the cleanliness and organization of the work area.

The position is uniquely tailored for those interested in specialized roles such as working with refugee patient populations or supporting digital campaigns. Those working with refugee patients provide intake services, schedule appointments based on patient needs, and coordinate translation services with qualified medical interpreters to ensure clear communication for patients who do not speak English as their primary language. For those involved in digital campaigns, duties include following up on applications, sending paperwork, and assisting patients with seminar sign-ups.

This role demands efficient multitasking, excellent communication skills, and proficiency in computer systems, including EMR software and Microsoft Office. Competency in medical terminology, insurance verification, and basic math for billing purposes is essential. Job Duties

  • Greet individuals arriving at the office courteously and ensure their needs are met
  • Obtain necessary patient registration information and verify insurance eligibility
  • Prepare charts for visits and notify clinical staff of patient arrival
  • Complete patient forms accurately and collect payment
  • Post charges to the billing system
  • Retrieve and file electronic medical records and paper charts
  • Answer telephones following etiquette guidelines and relay messages
  • Schedule and confirm appointments based on office protocols
  • Assist with rescheduling clinics and contact patients
  • Send new patient paperwork via patient portal or mail
  • Manage daily work queue
  • Oversee daily payment and charge posting balancing
  • Support overdue report management and patient outreach
  • Maintain neatness of work area and waiting room
  • Attend meetings and training as assigned
  • Provide intake services and appointments scheduling for refugee patients
  • Communicate with service coordinators and support personnel
  • Coordinate translation services for non-English speaking patients
  • Follow up on digital campaign applications and send patient paperwork
