Job Description

Gastroenterology of the Rockies is a well-established and rapidly growing medical practice specializing in gastrointestinal care, based in Boulder County and serving the greater Denver Metro area. With eight office locations and five Ambulatory Surgery Centers, the practice has earned a reputation for providing comprehensive and patient-focused gastroenterology services. We are currently seeking a diligent and personable Receptionist to join our team on a full-time basis at the Gastroenterology of the Rockies Offices. This non-exempt role offers a competitive hourly pay range of $20.50 to $22.00 and comes with a limited-time signing bonus of $1,000 for qualified candidates. Reporting directly to Clinical Supervisors, this position serves as the crucial first point of contact for patients, ensuring a welcoming and professional interaction whether in person or on the phone.

The Receptionist will play an integral role in maintaining organized patient records and managing the reception area efficiently. This position involves greeting patients courteously, verifying and updating patient demographic, insurance, and referral information, as well as collecting co-pays and other payments. Accurately scheduling follow-ups for procedures, labs, or tests based on directions from doctors or nurses is also a vital part of this job. The receptionist handles essential communications such as reminder calls for appointments, distributing mail, and assisting with administrative tasks including ordering office supplies and coordinating drug representative lunches.

Successful candidates will demonstrate strong organizational skills and the ability to maintain confidentiality in handling patient and company information. Proficiency with computer systems including Outlook, Word, Excel, and medical software (Intergy preferred) is important. Furthermore, excellent interpersonal and communication skills are required to interact effectively with patients, medical staff, and external organizations. The role demands accountability, flexibility, and a proactive approach to streamlining processes for department efficiency. Working in an office environment, the position also requires the physical ability to walk short distances and perform repetitive hand, wrist, and finger movements required for data entry and other tasks.

Job Requirements

  • HS diploma or GED
  • two to four years experience as office receptionist, preferably in medical environment
  • excellent written and oral communications skills
  • high level of professionalism
  • excellent ability to interact with peers, other staff members, doctors, patients, and those outside the organization maintaining professionalism in stressful situations
  • intermediate computer skills, including Outlook, Word, Excel and medical software, (Intergy preferred)

Job Duties

  • Greets patients courteously and professionally
  • verifies demographic, insurance and referral information, scans insurance and ID cards, making corrections and updates as necessary
  • collects co-pays and other payments from the patients, keeps record of cash and check payments on the payment log, processes credit card payments and sends the receipts to the billing department
  • schedules follow up procedures, labs or tests as directed by the doctor or nurse after their appointment, sends pre-certifications, contacts patients in a timely manner to let them know they can schedule ordered tests and faxes information appropriately to outside organizations
  • collects mail for courier and distributes incoming mail
  • places reminder calls to patients 3 days prior to their appointments, assists in rescheduling patients as necessary
  • participates in staff meetings, assists in developing ways to meet department goals in a more effective and efficient manner and is an active part of the implementation of new processes and procedures
  • performs additional office duties such as ordering office supplies, maintaining an organized work environment and lobby, and scheduling drug representative lunches
  • performs other tasks or projects as requested by the management team
