The Medical Receptionist role at IHA serves as the vital first point of contact for patients and external customers both in the office and on the phone. Medical Receptionists may also specialize in working with refugee populations or supporting digital campaign outreach. Those working with refugees provide culturally sensitive intake services, coordinate translation and interpreter communication for non-English-speaking patients, and maintain detailed intake reports. Those engaged in digital campaigns assist in following up on applications, distributing patient paperwork, and enrolling patients in seminars, enhancing community engagement through technology.

The position demands a service-oriented approach, strong organizational and multitasking abilities, proficiency in computer systems including electronic medical records and common Microsoft Office applications, and the ability to maintain absolute confidentiality according to HIPAA guidelines. Physical expectations include frequent keyboarding, filing, standing, walking, and occasional lifting up to 30 pounds. Job Requirements

  • High school diploma or GED or valid work permit for ages 15-17
  • 1-2 years of experience in a medical or physician office or customer service environment preferred
  • Understanding of verification of insurances
  • Excellent written, verbal and face-to-face communication skills including proper phone etiquette
  • Proficient in patient care procedures and organizational policies related to position responsibilities
  • Service-oriented, responsive to customer needs and courteous in approach
  • Proficient in operating a standard desktop and Windows-based computer system including electronic medical records, Microsoft Word, Excel, Outlook, intranet and computer navigation
  • Ability to compute mathematical calculations
  • Knowledge of medical terminology
  • Ability to work collaboratively in a team-oriented environment and display professional and friendly demeanor
  • Ability to work effectively with various levels of organizational members and diverse populations

Job Qualifications

Job Duties

  • Greet all individuals arriving at the office courteously and ensure their needs are met
  • Obtain necessary patient registration information, verify patient insurance eligibility, prepare charts for visits, notify clinical staff of patient arrival
  • Accurately complete patient forms, collect payment, and ensure charges are posted to the billing system
  • Retrieve and file EMR/paper charts and miscellaneous reports
  • Answer telephone in accordance with telephone etiquette guidelines, take and relay messages in a timely manner
  • Schedule and confirm appointments based on office protocols
  • Assist with reschedules of clinics and contact patients, communicate with leadership when overbooks are not approved
