Job Description

The hiring establishment is IHA, a recognized healthcare provider dedicated to offering comprehensive medical services to a diverse patient population. IHA is currently seeking a Medical Receptionist to join their OB/GYN clinic team on a full-time basis, working 40 hours per week. This vital role serves as the first point of contact for patients and visitors, both in the office and over the phone, acting as a liaison between external customers and medical staff. The Medical Receptionist is responsible for greeting, instructing, and assisting customers to obtain necessary services within the office and the broader IHA network. They play an essential role in facilitating efficient patient flow, communicating patient and visit information accurately to billing staff, and supporting medical personnel in scheduling and coordinating appointments according to office protocols.

The Medical Receptionist position requires excellent organizational and communication skills as well as the ability to maintain confidentiality and comply with HIPAA regulations. The individual in this role will handle various administrative tasks, including verifying insurance eligibility, preparing medical charts, collecting payments, managing electronic medical records, and maintaining a neat and welcoming office environment. Proficiency in operating standard computer systems, including electronic medical records software and Microsoft Office applications, is critical.

In addition to core responsibilities, some Medical Receptionists at IHA may have specialized duties. For example, those working with refugee patient populations will provide intake services tailored to these patients’ requirements, coordinate translation and interpreter services, and collaborate closely with service coordinators and providers to ensure that patients receive appropriate follow-up care. Others may focus on digital campaigns, following up with applicants and organizing patient paperwork and seminar registrations to support community outreach efforts.

The ideal candidate for the Medical Receptionist position will have a minimum of one to two years of experience in a medical or physician office or customer service environment, although coursework in insurance, billing, or medical practice education is preferred but not mandatory. High school diploma or GED is required, and younger applicants aged 15 to 17 may be considered with a valid work permit from their high school. This position demands a service-oriented approach, the ability to work collaboratively in a team, and flexibility to cross-train and support other office areas as needed.

Candidates must demonstrate a high level of professionalism, operate efficiently with attention to detail, and be capable of managing multiple priorities in a fast-paced healthcare setting. The Medical Receptionist will also be expected to complete competency-based training programs during their introductory period to ensure full integration into IHA’s customer service standards and operational protocols.

Job Duties

  • Greets all individuals arriving at the office courteously and ensures their needs are met
  • obtains necessary patient registration information, verifies patient insurance eligibility, prepares charts for visits and notifies clinical staff of patient arrival
  • accurately completes patient forms, collects payment and ensures charges are posted to the billing system
  • retrieves and files electronic medical records and paper charts
  • answers telephone according to office etiquette and relays messages in a timely manner
  • schedules and confirms appointments based on office protocols
  • assists with rescheduling clinics and contacts patients
  • supports overdue report management and patient outreach
  • maintains work area and waiting room neat and supports other offices as needed
