The Patient Services Representative role at Center for Vein Restoration is essential to ensuring smooth patient interactions and efficient clinic operations. This position involves greeting patients warmly and professionally, managing patient check-ins and check-outs, and facilitating various administrative tasks in line with CVR’s policies and procedures. Working within a fast-paced environment, these representatives ensure that patient records are complete, accurate, and compliant with HIPAA standards. They assist patients by reviewing scheduling, financial responsibilities, and referral processes to provide clarity and support throughout their care journey. Additionally, Patient Service Representatives manage precursor certifications, confirm appointments, collect copayments, and maintain effective communication with patients via email and other channels.

Job Requirements
- Minimum 1 year administrative or customer service experience, preferably in a medical setting
- must have reliable transportation to clinics that may not be accessible by public transportation
- must be able to travel occasionally to CVR Wyoming, MI and CVR Muskegon, MI clinics
Job Qualifications

- proficiency with EHR/NextGen or ability to learn quickly

Job Duties
- Greet patients in a friendly and professional manner and check in/out
- ensure that all CVR policies and procedures are distributed, understood, and implemented by all assigned center staff members
- ensure compliance that patient charts are up to date, HIPAA compliant, with accurate input of demographics, procedures, and payments into NextGen
- review scheduling, financial responsibilities, and referrals with patients
- send precertification forms daily to the Precertification Department
- complete daily close tasks including fee tickets, billing, and operative notes
- review future schedules to confirm patient preauthorization for treatment
- obtain and update new patient forms in NextGen/EHR systems
- collect necessary paperwork for patient appointments such as authorizations and referrals
- collect copays and patient balances at time of service
- schedule and confirm patient appointments
- collect email addresses from patients
