Job Requirements
- High school diploma or equivalent
- Prior experience in medical reception or healthcare setting preferred
- Ability to use computer systems effectively
- Familiarity with patient scheduling and administrative tasks
- Strong organizational skills
- Excellent interpersonal skills
- Ability to maintain patient confidentiality
- Ability to handle multiple tasks simultaneously
- Willingness to work onsite
- Ability to communicate professionally with patients and team members
Job Qualifications
- Exceptional customer service skills
- Knowledge of medical insurance and electronic medical record systems
- Understanding of ChenMed medical products, services, standards, policies and procedures
- Skilled in operating phones, computers, software and basic IT systems
- Strong communication skills both verbal and written
- Detail-oriented with strong listening skills
- Positive and professional attitude
- Proficient in Microsoft Office Suite including Excel, Word and Outlook
- Ability and willingness to travel locally and regionally up to 10 percent of the time
- Spoken and written fluency in English
Job Duties
- Interacts appropriately with patients and records information while greeting, checking-in, checking-out or scheduling appointments for patients
- Conducts lobby checks to ensure organization and cleanliness
- Serves as the gatekeeper for PCP and Specialists schedules including ensuring Top 40 patients are scheduled every 13 days
- Utilizes computer equipment and programs to add new patient information, print out relevant forms, schedule appointments, respond to emails and generate New Patient packets
- Conducts love calls, mails birthday and greeting cards to patients
- Answers telephones, takes detailed and accurate messages and directs messages to the appropriate individual
- Clearly communicates information about ChenMed clinical personnel to patients and others
- Verifies patient insurance and collects necessary copays
- Assists with scheduling follow-up and Specialist referral appointments
- Escorts patients to exam rooms to ensure comfort prior to leaving
- Acts as HEDIS champion by providing visibility of HEDIS needs for scheduled patients
- Presents patients with customer service survey during check out and escalates if needed
- Participates in daily and weekly huddles to provide patient details
- Regulates and monitors transportation aspects including driver’s lists, medication and grocery deliveries, behavioral challenges, scheduling Uber/Lyft rides for patients
- Maintains confidentiality of patient information
- Reviews patient information for accuracy
- Transmits correspondence by mail, email or fax
- Performs other duties as assigned by manager
