ProHealth Physicians, a division within Optum, is currently seeking a friendly, patient-focused, and detail-oriented Medical Receptionist to join their dynamic team at the Torrington, CT location. This full-time position offers a schedule of 40 hours per week, Monday through Friday, from 8:00 AM to 4:30 PM or 9:00 AM to 5:30 PM. The Medical Receptionist plays a vital role in supporting the care team and enhancing the patient experience by managing front desk operations including greeting and checking in patients, scheduling appointments, handling telephone inquiries, collecting payments, and maintaining accurate patient demographic information.

In this role, the receptionist will utilize the electronic health record (EHR) system extensively, ensuring all interactions and patient information are documented according to ProHealth policies and standard workflows. Flexibility is required as the receptionist may occasionally float to other local ProHealth practices to provide coverage based on business needs. The position demands excellent organizational skills, strong communication abilities, and the capacity to manage multiple tasks efficiently to ensure smooth administrative operations within the medical office.

Job Requirements

  • high school diploma or GED
  • at least 1 year of receptionist or customer service experience
  • intermediate computer skills including proficiency in Microsoft Office
  • ability to communicate effectively with patients and team members
  • knowledge of electronic health records systems
  • ability to maintain patient confidentiality
  • availability to work full-time Monday through Friday
  • ability to provide coverage at multiple locations if necessary

Job Qualifications

  • 1+ year of receptionist or customer service experience
  • intermediate level of computer proficiency in Microsoft Office
  • high school or GED or higher
  • experience working in a primary care setting preferred
  • experience working with EPIC preferred

Job Duties

  • Conduct check-in and check-out process
  • answer incoming calls and use EHR to document details of patient inquiries
  • conduct outreach to patients requiring appointments or service follow-up
  • schedule appointments using standard scheduling protocols
  • manage administrative in-basket pools and work queues
  • scan documents into the EHR per standard protocols
  • balance payments and prepare deposits
  • protect patients' rights by maintaining confidentiality of medical, personal and financial information
  • provide coverage at other ProHealth locations on an ad hoc basis
  • perform other duties as assigned
