Within this expansive healthcare network, the Anna Shaw Children's Institute (ASCI) operates as a specialized developmental behavioral practice. An affiliate of Hamilton Healthcare System, ASCI addresses the medical and psychiatric care needs of children with developmental delays and behavioral concerns in Dalton, Georgia, and surrounding areas. Beyond medical and psychiatric services, ASCI offers Physical, Occupational, Speech, and Feeding therapies tailored to pediatric patients facing these challenges. The role of Medical Office Registrar at ASCI is multifaceted and vital to the smooth operation of the practice. This full-time position encompasses a variety of front-end office functions including customer service, telephone management, appointment scheduling, patient registration, co-pay collections, and time-of-service account management. Additional responsibilities include coding review, charge entry, and managing cash handling procedures such as end-of-day closure. The registrar ensures that provider schedules are timely and fully populated, patient data is accurate and up to date, and financial interactions are efficiently handled whether in person or over the phone.
Critical to this role is the responsibility of verifying patient insurance eligibility, obtaining prior authorizations as necessary, and collecting payments or arranging financial plans when applicable. The registrar performs timely and precise charge entry, reviews medical encounters for accurate procedural coding, and manages cash drawers in compliance with organizational protocols. The ability to post payments, handle patient account balances at the time of service, and correct billing claims ensures that patient accounts are managed smoothly and without delay. Supportive of patient billing, the registrar assists with patient balance reports and other additional duties as assigned. This position requires a collaborative mindset, working closely with patients, physicians, administrative staff, and management to maintain high patient satisfaction and operational accuracy.

Job Requirements
- Completion of a high school diploma
- Minimum two years of front desk registrar experience preferably in a physician practice
- Current CPR/BLS certification or ability to obtain within 30 days
- Competency with medical procedural coding CPT/ICD10
- Proficient with medical software and PC skills
- Excellent customer service and communication skills
- Ability to work in a team environment
- Knowledge of cash controls and typing skills at minimum 40 WPM
Job Qualifications
- High school diploma or equivalent
- Minimum of two years of relevant front desk or registrar experience
- Proficiency in medical procedural coding (CPT/ICD10)
- Experience with medical software and PC applications
- Strong customer service and communication skills
- Ability to work effectively in a team environment
- Typing skills of at least 40 words per minute
- Current CPR/BLS certification or ability to obtain within 30 days of hire
