The role of Patient Scheduling Specialist is integral to these clinics, acting as the first point of contact for patients either walking in or calling to schedule appointments. This full-time position is responsible for managing patient appointments across multiple clinical settings, ensuring appropriate patient placement based on presenting health issues, and maintaining clear communication with healthcare providers and nursing staff. The specialist is charged with verifying patient insurance eligibility, registering patients within the Electronic Medical Record (EMR) system, and guiding patients through the scheduling process while providing information about available healthcare services. This role requires a professional and welcoming demeanor, effective multitasking skills, and adherence to clinic protocols and confidentiality standards.

In addition to scheduling duties, the Patient Scheduling Specialist is involved in patient check-in and check-out processes, including verification of insurance and collection of payments such as copayments or self-pay balances. Accuracy in balancing financial transactions and a solid understanding of third-party payors and billing procedures are essential. The specialist is also responsible for maintaining appointment statistical data, participating in departmental meetings, and supporting other administrative areas as needed. They are expected to promote teamwork and uphold the mission and goals of the Florida Medical Practice Plan by providing compassionate service, maintaining confidentiality, and ensuring compliance with all applicable federal and state regulations.

This position requires documentation of certain immunizations and physical examinations to ensure patient and staff safety. Job Requirements

  • High school diploma or equivalency
  • Two years of relevant experience or post-high school education equivalent to two years
  • Documentation of current PPD test with negative results within past six months
  • Documentation of physical examination completed within past six months
  • Documentation of tetanus immunization within last 10 years within 30 days of hire
  • Documentation of hepatitis B vaccine or positive antibody titer within 30 days of hire
  • Successful completion of criminal background check

  • Experience in scheduling and customer service in a healthcare setting
  • Proficient in balancing financial transactions with 100% accuracy

Job Duties

  • Act as first point of contact to patients that walk in or call to schedule an appointment
  • Schedule patient healthcare appointments for multiple clinics
  • Utilize facility protocols to determine appropriate placement of patients based on presenting problem
  • Answer all calls according to policies and procedures in a timely and professional manner
  • Screen incoming phone calls, answer routine questions and forward inquiries to appropriate departments
  • Assist in monitoring the schedule and removing patients from appointments when they do not show within the allotted time slot
  • Schedule waiting patients in the no show appointment slots according to appointment guidelines
  • Maintain waitlists as needed
  • Maintain communication with providers and nursing staff regarding unscheduled patients and patients that appear to need care prior to the first available appointment
  • Verify patient insurance eligibility status and register patient in Electronic Medical Record (EMR)
  • Provide information and support to patients regarding available healthcare services
  • Direct patients to appropriate departments/offices to facilitate problem resolution regarding fees, insurance, immunizations, questions for providers, etc
  • Direct patient to other services such as health promotion services and specialty clinics, as appropriate
  • Cancel/reschedule appointments according to facility appointment guidelines
  • Initiate telephone encounters for triage nurses to return calls to patients regarding questions or concerns
  • Communicate appropriate information to supervisors and providers as necessary
  • Check patients in and out in a professional, timely, and hospitable manner while following clinic check-out and cash handling policies
  • Greet patients, ensure insurance, pre-certifications and prior authorizations are correctly entered
  • Collect copayments, prepayments, bad debt, self-pay balances and other payments at the time of service
  • Appropriately balance deposits, checks, and credit card systems
  • Balance and close batches daily (100% accuracy) with appropriate secondary verifier
  • Demonstrate knowledge of third-party payors, billing, accounts receivable functions and payment codes
  • Attend and participate in scheduled departmental meetings and other meetings or committees as directed
  • Attend in-service presentations, training and mandatory educations programs
  • Maintain appointment statistical data and prepare reports as directed by supervisor
  • Promote an atmosphere of teamwork in accomplishing the mission and goals of FMPP
  • Exhibit a willingness to float to all areas of need for administrative support including check in, check out, referrals or other administrative area as deemed necessary across FMPP clinics
  • Maintain confidentiality of all personal health information
  • Assure that information is maintained, handled, and released in accordance with applicable federal and state statutes and FMPP policies
