The role under consideration is a clinical office support position functioning under direct supervision. This role is vital in facilitating patient satisfaction by ensuring smooth and efficient operations within a clinical office environment. Responsibilities include performing all front office duties such as checking in patients, ensuring completion of all necessary registration forms, collecting copayments, assisting patients when needed, and answering phones promptly and courteously. This position requires strong organizational and communication skills to handle patient registrations, insurance coordination, appointment scheduling, and managing the flow of patients within the clinic.
Additional duties encompass verifying patient registration details upon arrival, communicating with benefit coordinators regarding insurance updates, and liaising with healthcare providers to update them on patients’ arrival, needs, or requests. The role also involves preparing patient charts, facilitating medical record requests from external providers, and managing referrals and authorizations necessary for patient visits and testing. Furthermore, the office support professional schedules new and follow-up appointments as needed, follows up on missed appointments through telephone or mail outreach, and monitors patient flow including room assignments and keeping patients and their families informed about waiting times.

- Previous experience in a clinical office setting preferred
- Proficient computer skills in Microsoft Office and database programs

Job Duties
- Performs all front office duties, checking in patients, ensuring completion of all necessary forms for registration, collecting copays, assisting patients when needed, and answering phones
- Creates and verifies full patient registration upon patient arrival
- Communicates with Benefit Coordinators if new insurance is obtained
- Communicates with providers as needed regarding patient's arrival, needs or requests
- Prepares charts, obtains medical record requests and makes phone calls to request medical records from outside providers
- Creates new and follow up appointments as needed for patients and obtains referrals and authorization for visits and testing when necessary
- Schedules patient appointments and follows up on missed appointments by telephone or mail
- Monitors the flow of patients, including placing patients into rooms as needed and keeping patients and families informed of waiting times
- Performs all other duties as assigned
