This position is for a Medical Office Receptionist at the Heart & Vascular Specialists Clinic located at 6100 Harris Parkway, Fort Worth, TX 76132. The job is a full-time role, requiring 40 hours per week from Monday through Friday, 8:00 am to 5:00 pm. The role involves approximately 25% travel to surrounding clinics as needed, with mileage reimbursement provided. The clinic is a fast-paced, multi-provider cardiology practice focused on delivering compassionate, empathetic care to patients. As a Medical Office Receptionist, you will play an essential role in supporting the clinic’s operations by providing excellent customer service, managing patient check-ins, scheduling appointments, handling insurance and billing processes, and maintaining organized medical records. You will act as the first point of contact for patients, ensuring they feel welcomed and cared for from the moment they enter the clinic. Your responsibilities include verifying patient and insurance information, collecting copays, scanning documents into electronic medical records, preparing charts for appointments, managing patient check-outs, and following up on missed appointments. Job Requirements
- High school diploma or equivalent
- Current medical experience in a clinic strongly preferred
- Six months business office customer service experience preferred
- Outgoing individual with a friendly attitude
- Strong attention to detail
- Able to multi-task front desk job responsibilities for a busy Family Practice/Internal Medicine Clinic
- Outstanding communication, interpersonal, customer service, and organizational skills
- Knowledge of insurance authorization/billing requirements
- Demonstrated strong customer service and communication skills
- Organizational and time management skills
- Proficient computer skills
- Knowledge of clinic procedures and regulatory requirements

Job Qualifications

Job Duties
- Delivers care to patients utilizing the Medical Office Receptionist process
- Under direct supervision, performs patient check-in at the time of visit and completes all paperwork necessary to ensure the admitting process is efficient and all clinic and regulatory policies are in compliance
- Answers phone calls and directs them appropriately
- Schedules appointments according to office guideline
- Obtains accurate patient and insurance information, collecting copays and deductible amounts
- Copies/scans patient access related hard copy materials into the correct location in the electronic medical record
- Prepares charts for patient appointments making sure all necessary information is complete
- Conducts all functions associated with patient check-out including pricing services, collecting patient responsibility payments, and scheduling follow-up appointments
- Performs duties involving record filing and retrieval and assisting with the filing of registration documentation in electronic medical records
- Confirms next day appointments and alerts patients as to what documentation is needed, including details associated with time-of-service payment
- Follows up with patients regarding the Missed Appointment Policy and sends out the appropriate communications
- Performs other duties as assigned
