Job Description
The Practice Coordinator role at LifeStance Health is vital for ensuring the smooth operation and excellent patient care experience at their Ventura, California location. This full-time position is responsible for managing front-office functions, providing exceptional customer service to in-person and remote patients and clinicians, and supporting daily office operations to maintain a welcoming and efficient practice environment. The coordinator facilitates patient intake procedures, schedules, billing inquiries, telehealth access, and communication between patients and clinicians. This includes preparing patient charts, verifying insurance eligibility, collecting co-payments, managing appointment schedules, and assisting staff with administrative tasks. The role requires multitasking abilities, strong communication skills, proficiency in computer software and electronic medical records, and the capacity to handle sensitive information in compliance with HIPAA guidelines. Job Requirements
- High school diploma or equivalent
- 1+ years of healthcare operations, customer service, or similar experience preferred
- strong communication skills
- proficiency with Microsoft Office and EMR software
- ability to multitask and prioritize
- ability to handle confidential and sensitive information
- ability to work independently and collaboratively
- physical ability to sit, stand, bend, talk, hear, walk regularly
- ability to lift or move objects up to 25 pounds

Job Qualifications
- High school diploma or equivalent
- associates or bachelor's degree preferred
- minimum of 1 year experience in healthcare operations, customer service, or a similar role
- strong written and verbal communication skills
- proficiency with computer software applications including Microsoft Office and electronic medical records systems
- ability to multitask and prioritize duties effectively
- comfort handling sensitive and confidential information according to HIPAA regulations
- ability to work independently and collaboratively as part of a team.
Job Duties
- Create a positive work environment
- be a culture carrier and support in-office clinician and staff engagement activities to promote LifeStance culture, engagement, and connection
- conduct schedule prep process for all patients to ensure all paperwork and documentation is complete, credit card on file is current, demographics are accurate, and patient chart is prepared
- perform general office duties including sorting mail, scanning documents, managing e-faxes, shared office email and upkeep
- communicate with peers, clinicians, and patients to support patient care and clinician satisfaction
- provide exceptional customer service, respond quickly and appropriately to patient needs, manage difficult or sensitive situations following crisis and de-escalation processes
- manage front desk responsibilities including greeting and checking patients in and out courteously
- support patients with payment/billing questions, scheduling needs, release requests, and miscellaneous inquiries via phone, email, or portal
- manage phone system queues ensuring calls are answered timely
- assist patients with telehealth access, patient portal issues, and other troubleshooting
- handle urgent requests by triaging patient issues and directing or escalating as needed
- collect all in-person and telehealth co-payments and account balances at time of service
- complete insurance eligibility verifications and resolve issues with patients
- provide general clinician support including administrative tasks like sending letters and faxes
- coordinate with clinicians regarding patient questions
- audit clinician schedules for appointment accuracy
- maintain a secure, motivational, and pleasant working environment in the practice.
