The role of Medical Office Assistant / Receptionist is vital to the success of our practice. This position serves as the frontline representative, greeting patients and visitors with professionalism and warmth, while managing a variety of front-office functions that are critical to the daily operations of our medical office. This includes handling a high volume of telephone inquiries through a multi-line phone system, scheduling and confirming appointments, checking patients in and out, and collecting necessary payments such as copays and deductibles. Additionally, the Medical Office Assistant is responsible for verifying patient insurance eligibility, obtaining prior authorizations for procedures, and maintaining accurate patient records within our electronic medical records (EMR) system. The individual in this role must possess exceptional communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

This position demands a strong understanding of medical terminology, insurance plans—including PPO, HMO, Medicare, and Medi-Cal—and a thorough knowledge of HIPAA regulations to ensure patient confidentiality is upheld at all times. The Medical Office Assistant must also be flexible, as travel to other clinic locations may be necessary to provide coverage as business needs dictate. Reliable transportation is essential. The work schedule includes Monday, Wednesday, and Friday from 8:00 AM to 5:00 PM, and Tuesday and Thursday from 9:00 AM to 6:00 PM, with occasional additional hours based on staffing needs.

Job Requirements

Job Duties

  • Greet patients and visitors in a professional and courteous manner
  • Answer and manage a high-volume multiline phone system
  • Schedule, reschedule, and confirm patient appointments
  • Check patients in and out of appointments
  • Collect copays, coinsurance, deductibles, and outstanding balances at the time of service
  • Verify and update patient demographic and insurance information
  • Maintain patient confidentiality and comply with HIPAA regulations
  • Scan, upload, and file patient documents accurately in the electronic medical record (EMR)
  • Assist with office opening and closing procedures
  • Verify insurance eligibility and benefits both online and by telephone
  • Determine patient financial responsibility, including copays, coinsurance, deductibles, and out-of-pocket costs
  • Obtain and track referrals and prior authorizations for office visits and procedures
  • Follow up with insurance carriers regarding authorization status
  • Communicate authorization requirements and insurance information to patients and clinical staff
