The role of Patient Service Specialist at Concentra is pivotal in supporting the patient care team by managing a variety of complex administrative tasks. This full-time position requires an individual who is detail-oriented, customer service-focused, and capable of efficiently handling multiple responsibilities simultaneously. The Patient Service Specialist is responsible for patient registration, scheduling, managing multi-line phone systems, and ensuring that all operational procedures comply with both company standards and legal requirements such as HIPAA. This role demands a general knowledge of various healthcare systems and administrative procedures, solid interpersonal skills to interact with patients and healthcare staff, and the ability to maintain confidentiality of sensitive information.

As a Patient Service Specialist, you will be the first point of contact for patients and visitors, providing crucial communication regarding appointment wait times and necessary forms. You will help ensure a smooth patient flow through the facility, handle patient check-ins and check-outs, and manage patient records and paperwork. Additionally, the role includes responsibilities such as obtaining authorizations for services, reminding patients of appointments, and coordinating paperwork dissemination. The position also extends to medical assistant duties like conducting breath alcohol tests, drug screens, and TB skin test reads. Job Requirements

  • High school diploma or GED
  • 6 months to 1 year relevant job experience
  • Working knowledge of state-specific occupational medicine requirements preferred
  • Ability to handle sensitive and confidential information
  • Strong customer service skills
  • Effective communication skills
  • Intermediate knowledge of Microsoft Office
  • Ability to perform front office operations
  • Ability to work in a fast-paced environment

Job Qualifications

  • High school diploma or GED
  • 6 months to 1 year working knowledge of state-specific occupational medicine requirements preferred
  • Concentra core competencies of service mentality, attention to detail, sense of urgency, initiative and flexibility
  • Ability to make decisions or solve problems using logic to identify key facts, explore alternatives, and propose quality solutions
  • Outstanding customer service skills
  • Ability to properly handle sensitive and confidential information including HIPAA and PHI
  • Demonstrated effective communication and interaction with employers, patients, providers, and employees
  • Ability to maintain working relationships with all levels of employees
  • Demonstrated intermediate knowledge of Microsoft Office such as Word, Excel, Outlook and data entry into various systems
  • Drive to achieve or exceed established service standards

Job Duties

  • Greet patients and visitors
  • Communicate wait times to patients and direct them accordingly
  • Obtain authorization to process patients for services
  • Check in patients using appropriate patient management system
  • Explain all required forms to patients and ensure proper completion of all paperwork
  • Answer incoming telephone lines and direct the caller accordingly
  • Contact patients regarding appointment reminders, rescheduling, or cancellations
  • Check out patients in appropriate patient management system and distribute records
  • File paperwork, medical records, and correspondence
  • Maintain inventory of office supplies and printed forms
  • Manage dissemination of paperwork to outside parties
  • Follow HIPAA guidelines and safety rules
  • Attend center staff meetings
  • Participate in initial and ongoing training
  • Complete processing of patient referrals including accurate checkout, paperwork processing, patient education, and communication with Client Support Group
  • Assist Center Operations Director or other leader in managing daily administrative functions
  • Assist in maintaining a neat, clean, and orderly appearance throughout the facility
  • Use employer reporting tool to scan and distribute employer results and paperwork
  • Review clinician transcriptions and enter applicable charges via internal charge entry system
  • Perform some medical assistant duties such as breath alcohol tests, drug screens, TB skin test reads, and other duties as assigned or approved by medical leadership
