The Medical Education Meeting Planner role at Smith+Nephew is integral to the successful execution of medical education programs that support the company's mission and business objectives. This role manages all aspects of meeting planning from inception to completion, acting as a key business partner with Medical Education and other internal stakeholders to deliver exceptional events that provide a superior customer experience. Responsibilities include overseeing the entire event life cycle, ranging from venue sourcing, contract negotiation, and audio-visual and production coordination to logistical support such as ground transportation and food and beverage planning. The Meeting Planner ensures smooth registration processes, onsite event support, and conducts thorough pre- and post-event evaluations. Budget management and reconciliation are essential elements of this role, ensuring cost-effectiveness without compromising quality.
The planner will manage a variety of events including Medical Education courses, Advisory Board Meetings, and Innovation Councils typically hosting between 40 to 100 attendees. This requires excellent organizational and multitasking abilities, keen attention to detail, and strong communication skills both written and verbal. The role demands a comprehensive understanding of compliance, industry standards, and local regulations governing interactions with healthcare providers to maintain the highest ethical standards. In addition to routine duties, the Meeting Planner is expected to anticipate challenges proactively and stay informed on the latest trends in event planning and design to continually enhance the quality and efficiency of medical education events.
This full-time position offers a competitive annual salary range of $75,000 to $85,000 USD, with the actual offer depending on experience, skills, and geographic location. Job Requirements
- Experience 2-4 years of in meeting planning and coordination, preferably in the medical industry
- Cvent Event Management Certification preferred
- Bachelor's Degree preferred
- Domestic travel required 25 percent
- Ability to understand customer priorities and use industry knowledge to help achieve goals
- Self-motivated and ready to take on challenges and work under stress in a fast-paced environment
- Ability to handle pressure and make good decisions quickly
- Flexibility for domestic or international travel, as needed
- Highly detail oriented with a critical degree of accuracy regarding event details
- Strong interpersonal and communication skills
- Prepared to work flexible hours

Job Qualifications
- Bachelor's degree preferred
- 2-4 years of experience in meeting planning and coordination, preferably in the medical industry

Job Duties
- Manage all aspects of event planning for Medical Education courses, Advisory Board Meetings, and Innovation Councils
- Prepare budget and monitor expenditures for each meeting
- Manage logistical support and provide direction to meeting staff, vendors, and hotel counterparts for pre-planning, onsite execution, and post planning
- Conduct site selection, assist with city selection, create and send RFPs, review and present proposals
- Cultivate relationships with hotel and AV partners and remain attuned to industry trends and market conditions
- Ensure adherence to all compliance, code of conduct, and local laws regarding interactions with healthcare providers
- Troubleshoot and handle any issues that arise on the event day
- Compile price lists and negotiate contracts for services, dates, times, and spaces
- Track and process all changes including updating hotel confirmation numbers and cancellation numbers
- Provide reports such as rooming, participants list, ground transportation, group air, arrival and departure, food and beverage, translation
- Oversee client experiences from conception through post-event review
- manage on-site preparations, production, and event breakdown
- Locate resources, visit sites, and lead pre-event meetings to assist staff with event design decisions
