Job Description

Connecticut Orthopaedics (CO) is a premier orthopaedic practice serving the greater New Haven area for over 60 years. As the largest privately-owned orthopaedic practice in New England, CO has grown significantly through the merger of several surrounding orthopaedic groups. The practice is widely recognized for its exceptional quality of care and dedication to patient attentiveness, earning the distinction of being named the number 1 Physician Practice in Orthopaedics in Connecticut for two consecutive years. CO proudly serves as the orthopaedic team for multiple colleges and high schools and operates its own physical therapy centers. To complement its orthopaedic services, the practice also maintains three MRI suites, five acute care orthopaedic walk-in centers, and a surgery center in Branford.

We are currently seeking a full-time Medical Assistant/Medical Receptionist float to join our exceptional care team at Connecticut Orthopaedics. This role offers the unique opportunity to work across different offices within Greater New Haven County with hours typically ranging from 8:00 am to 5:00 pm. The Medical Assistant/Medical Receptionist float will play an integral role in supporting physicians and ensuring smooth clinic operations. The Medical Assistant/Medical Receptionist float will be responsible for all aspects of clinical scheduling, patient flow management, surgical and test authorization, patient communication, and coordinating with outside agencies to facilitate patient care. This position serves as a pivotal liaison between patients, physician offices, hospitals, surgical centers, and other healthcare providers, ensuring timely coordination and delivery of services. Additionally, the Medical Assistant will assist in clinical procedures such as applying casts and wound care, and will help fit patients with durable medical equipment and braces. This role demands strong organizational, communication, and interpersonal skills to effectively handle patient concerns and maintain accurate, HIPAA-compliant records.

Job Requirements

  • Certification from an accredited medical assistant program or prior training, education and experience from which comparable knowledge and skills are acquired leading to a medical assistant title
  • High school diploma or equivalent (GED)
  • 3-5 years of experience as a medical assistant or medical secretary
  • 1-2 years' experience working in an orthopaedic practice preferred
  • Demonstrated knowledge and compliance of all HIPAA regulations
  • Proficient computer skills including Microsoft Office Suite
  • Excellent interpersonal, verbal and written communication skills
  • Ability to effectively communicate with physicians, surgeons, physician assistants and other senior clinical practitioners
  • Excellent time-management skills
  • Outstanding professional medical phone communication skills and ability to coordinate with outside facilities to obtain patient medical information while following HIPAA regulations
  • Ability to relay information positively and calm patients by presenting solutions

Job Duties

  • Booking provider requests for tests and surgeries for patients and obtaining authorizations, recording information in proper location
  • Contacting outside facilities and processing related paperwork such as other physician offices, hospitals, and surgical centers and providing them with the necessary information to schedule tests and surgeries
  • Following up on surgical patients to ensure necessary pre-op and testing appointments have been completed
  • Contacting patients with pertinent information regarding their scheduled test or surgery and scheduling necessary follow up visits
  • Ensuring tests results are received before surgery
  • are reviewed and distributed appropriately (i.e. provider, facility, etc.)
  • Accurately documenting necessary information in the computer system, such as pre-certification numbers, and chart for patients having tests and procedures
  • Preparing paperwork, x-rays, and other documents as needed for the physician to be available for him or her to take to surgery
  • Addressing patient concerns and questions as needed
  • Directing requests for worker compensation approval of tests and surgeries and other related information to the case manager
  • Pre-authorizing and calling in prescriptions and/or injectables for the physician
  • Scheduling post-op and first physical therapy appointment and informing patient
  • Applying casts, removing wound dressings, sutures, and casts
  • Fitting patients with durable medical equipment and braces appropriately and completing billing paperwork accurately
  • Performs other duties as assigned by their supervisor
