The role of the Certified Medical Assistant - Front Office at CPC is integral to the smooth operation of the medical office and the overall patient experience. Reporting directly to the Office Manager, the Certified Medical Assistant serves as the friendly first point of contact, responsible for greeting patients, scheduling appointments, maintaining accurate patient records, and handling accounts. This role requires a blend of strong administrative skills, familiarity with medical office technology, and a compassionate approach to patient interaction.
Detailed responsibilities include answering and screening telephone calls efficiently, scheduling appointments according to established policies and patient needs, and ensuring all necessary patient information is collected during check-in. The Certified Medical Assistant also manages data entry for billing and payment postings, processes incoming and outgoing correspondence, and assists in maintaining smooth patient flow by supporting other areas of the office as needed. Maintaining patient confidentiality and adhering to HIPAA guidelines are critical components of the position to safeguard sensitive health information.
This full-time position operates within a well-lit medical office environment, with working hours Monday, Tuesday, Thursday, and Friday from 8:15 am to 5:00 pm, and Wednesday from 11:00 am to 7:00 pm. Flexibility to work extended hours is occasionally required. Job Requirements
- High school graduate or GED
- Registered MA, Certified MA, or current LPN
- Basic Life Support certification or ability to obtain within 6 months
- Minimum of one year medical office experience
- Knowledge of electronic medical records
- Ability to type
- Ability to identify emergent medical situations
- Positive customer service skills
- Ability to multitask and work in a fast-paced environment

Job Duties
- Answers telephone by identifying person answering and assisting callers in a pleasant manner
- Screening, prioritizing, and returning patient calls according to office procedure
- Schedules appointments according to office procedure and to patient’s need
- Upon checking in a patient, acquires all necessary information prior to physician seeing patient
- Accurately performs data entry on computer system for billing and posting payment and gathering other necessary information
- Processes incoming and outgoing mail, records requests, and patient documentation based on office procedure
- Ensures smooth patient flow throughout the office by assisting in other areas when needed or as requested
