The Medical Assistant - Front Office plays a pivotal role at Family HealthCare Network by supporting efficient patient flow and managing registration duties to enhance the patient visit experience. This position requires a highly organized and skilled individual who can multitask in a fast-paced clinical setting, supporting both patient intake and administrative processes. The role involves pre-scrubbing appointments, assisting with patient distribution including walk-ins, and making initial health assessments such as taking temperatures and collecting symptoms. Additionally, the Medical Assistant is responsible for communicating wait times, scheduling appointments, and handling the check-in process by collecting and verifying patient demographics and insurance information.

In addition to patient-facing responsibilities, the Medical Assistant - Front Office manages critical documentation, including scanning and indexing insurance cards, eligibility forms, and clinical documents, as well as processing medical record releases and patient requests. Financial duties such as collecting nominal fees, reconciling payments, generating bank deposits, and reporting to the finance department are integral to the role. This position also involves operational tasks related to Family HealthCare Network’s mobile health unit, including maintenance, restocking, cleaning, and driving the unit to various locations as needed, sometimes outside regular business hours.

The ideal candidate must have strong technical skills including proficiency in Microsoft Office applications like Word, Excel, and PowerPoint to handle data compilation and presentation creation. A Clinical Medical Assistant Certification is preferred, though other administrative certifications are considered depending on location. Candidates must demonstrate excellent written and verbal communication skills to effectively compile and convey technical information to diverse audiences. Physical demands include the ability to perform repetitive tasks, occasional lifting of light objects, and mobility requirements aligned with vehicle operation and clinical support activities.

Employment for this role is full-time with a competitive hourly pay scale ranging from $21.25 to $29.33. Job Requirements

  • Proof of high school completion or GED with minimum GPA
  • Health care related training or education
  • Two years of relevant experience or medical assistant externship completion
  • Proficiency in Microsoft Office applications
  • Valid Clinical Medical Assistant Certification preferred
  • Strong written and verbal communication skills
  • Ability to perform physical demands including sitting, standing, walking, bending, lifting light objects
  • Ability to drive and maintain mobile health unit
  • Adherence to attendance policies
  • Flexibility to work at any FHCN location and varied hours including after-hours and weekends

Job Qualifications

  • Completion of high school or GED with required GPA
  • Health care related knowledge through trade school, para-professional, or certificate program
  • Two years of experience or successful completion of a medical assistant externship with Family HealthCare Network
  • Ability to prepare documents in Microsoft Word including tables and charts
  • Proficiency in Microsoft Excel including formulas and lookup tables
  • Ability to create basic presentations in Microsoft PowerPoint
  • Clinical Medical Assistant Certification preferred or equivalent certification
  • Effective written and verbal communication skills
  • Ability to convey technical information to non-technical audiences

Job Duties

  • Support and monitor patient flow
  • Scrub appointments in advance to ensure necessary information is available
  • Assist in the distribution of patients including walk-ins
  • Make appropriate assessment of patient health needs including taking temperature and collecting symptoms
  • Keep patients informed of wait times and ensure proper flow in the system
  • Schedule patient appointments
  • Perform various aspects of patient visit during check-in including collecting demographics and insurance information
  • Register new and established patients
  • Capture and update insurance information in patient records
  • Complete enrollment and financial forms
  • Scan and index forms and insurance cards
  • Ensure documents in e-fax folders are addressed
  • Collect nominal fees and patient balances at check-in
  • Reconcile and deposit payments
  • Generate daily bank deposit and reports
  • Obtain medical record releases and process requests
  • Document in electronic health records
  • Follow procedures for opening and closing health centers
  • Perform back office duties as needed
  • Maintain mobile health unit including cleaning, restocking, dumping septic tank, refueling
  • Drive mobile health unit to designated locations
  • Maintain vehicle logs and DMV records
  • Assist disabled passengers and children into/out of vehicle
  • Report vehicle safety and maintenance issues
  • Adhere to Attendance and Absenteeism Policy
  • Present to and work at any FHCN location based on business needs
  • Perform other duties as assigned
