Job Description
The Material Management Coordinator position is available within the Facility Operations department located in Appleton at a prominent institution dedicated to maintaining and enhancing campus operations. This role is part of the Facility Services team and reports directly to the Assistant Director of Facilities Operations. The organization focuses on creating an efficient, organized campus environment that supports the daily functions of various university departments and external vendors. The Material Management Coordinator is a staff-level position working full-time, with an anticipated 40-hour workweek. This role plays a crucial part in managing the movement, storage, and tracking of materials, equipment, and supplies to ensure smooth campus operations and serve the needs of campus departments effectively.
This position requires a detail-oriented and highly organized individual responsible for coordinating deliveries, managing inventory, supporting event setups, and maintaining readiness for custodial equipment and fleet vehicles. The Coordinator is tasked with transporting furniture, equipment, and supplies across campus and from local vendors, overseeing move and event coordination through work order management, and assisting with local purchasing activities. Additionally, the role involves overseeing storage areas, confirming shipments upon receipt, and ensuring items are either distributed or stored correctly with proper documentation. The individual will also support custodial services by managing equipment requests and minor repairs, coordinating vendor services, and tracking vehicle maintenance and mileage to keep the campus fleet in optimal condition.
An essential aspect of this role is ensuring compliance with safety protocols and university and regulatory standards, reinforcing the institution's commitment to a safe working environment. Maintaining positive working relationships with various campus departments, custodial teams, academic and administrative units, and vendors is crucial to meeting the campus operations demands efficiently. This position demands a balance of physical capability, including lifting up to 100 pounds and performing tasks such as climbing ladders, coupled with proficiency in Microsoft Office and inventory or work-order software tools. The successful candidate will have prior warehouse, shipping, receiving, or logistics experience, preferably 2-3 years, a valid driver's license with a clean driving record, and the ability to work independently while managing multiple priorities effectively.

Job Duties
- Pick-up and delivery - transport furniture, equipment, and supplies across campus and to/from local vendors
- move and event coordination - complete and oversee work orders for moves, setups, and material handling
- local purchasing - pick up local purchases and assist with routine custodial supply procurement
- inventory and storage oversight - maintain organized storage areas, track inventory, and ensure accurate documentation
- receiving and distribution - receive shipments, unload deliveries, verify contents, and distribute or store items
