The role of Event Specialist at Erlanger Health System is a vital position within the Community Relations team, which is part of the Marketing & Communications division. This position holds a critical responsibility for planning, coordinating, and executing a broad spectrum of events that represent Erlanger's brand and mission in the public arena. From philanthropic fundraising events to employee recognition ceremonies, community health fairs, and public health campaigns, the Event Specialist manages all aspects of event logistics from concept through execution. This requires a dynamic professional who excels in project management, vendor coordination, cross-departmental collaboration, and on-site leadership.
In this role, the Event Specialist works closely with multiple departments including Development, Marketing, Creative, Communications, and hospital operations to ensure each event aligns with Erlanger’s strategic priorities and delivers a high-impact experience for attendees. This includes handling vendor negotiations and contracts, overseeing event budgets, managing timelines, and ensuring each event reflects the organization’s mission and values. The position requires adaptability to handle events of varying sizes and purposes, always maintaining a high standard of professionalism and guest experience.
The Event Specialist serves as the primary on-site leader during events, guaranteeing smooth setup, execution, and breakdown while troubleshooting any real-time challenges. The role also encompasses diligent post-event activities such as evaluation, reporting, and maintaining event documentation to ensure continuous improvement in event planning processes. The ideal candidate will demonstrate strong communication skills, exceptional organizational abilities, attention to detail, and a passion for community engagement.
This is a full-time position ideally suited for individuals with 3-5 years of event coordination experience within nonprofit, healthcare, corporate, or agency settings. Working evenings or weekends may be required to support event schedules. Proficiency with Microsoft Office and event management platforms is preferred, and experience with vendor management, contract negotiation, and event permitting will be advantageous. Job Requirements
- Bachelor's degree in Event Management, Public Relations, Hospitality, or related field
- 3-5 years of event coordination experience in nonprofit, healthcare, corporate, or agency settings
- Strong project management skills
- Excellent written and verbal communication skills

Job Duties
- Develop event strategy aligned with organizational goals
- Plan and manage logistics for signature events including the annual Foundation event, employee recognition ceremonies, community health fairs, sponsorship activations, and other public-facing experiences
- Coordinate event timelines, budgets, run-of-show documents, and planning checklists in collaboration with internal and external stakeholders
- Ensure events are well-organized, appropriately staffed, and executed to a high standard of professionalism and guest experience
- Collaborate with Development, Marketing, Creative, and Communications teams to ensure brand consistency and promotional support
- Coordinate with vendors including caterers, AV providers, venues, and rental companies
- Serve as on-site event lead managing setup, execution, and breakdown
- Troubleshoot logistics issues and act as point of contact during events
- Track attendance, participant feedback, and event outcomes
- support post-event reports and impact summaries
- Maintain organized records of event plans and vendor contacts
- Support continuous improvement of event workflows and planning tools
