The role of Marketing Events Coordinator at GrowthX is a critical position based in the company’s San Francisco office. This role blends event planning, office management, and direct interaction with clients and internal teams, offering a comprehensive and impactful opportunity within a fast-paced startup environment. The coordinator will be responsible for managing a wide variety of in-person events that include customer dinners, client happy hours, partner meetups, team offsites, and industry conferences. Beyond event management, the role involves overseeing the daily operations of the San Francisco headquarters, ensuring the office remains a vibrant and welcoming space that fosters collaboration and productivity.

Unlike a typical administrative position, this role offers an 80/20 split between events and office operations, ensuring both aspects receive meaningful attention and visibility. The coordinator will work closely with the company founders, go-to-market teams, and customers, providing firsthand exposure to the San Francisco tech scene and valuable opportunities to build a professional network. The successful candidate will manage all logistical elements from sourcing venues, securing vendors, handling contracts, managing event budgets, coordinating registrations, and ensuring seamless event execution from setup to teardown, including follow-ups. The role also includes ownership of the swag program, which covers sourcing, inventory management, and distribution. This position demands high energy, exceptional organizational skills, and a proactive approach, as the coordinator will be the primary point of contact for events and office activities in the Bay Area.

Candidates must have legal authorization to work in their country of residence, as visa sponsorship is not available at this time.

Job Requirements

  • 2-3+ years of experience in office coordination, event management, hospitality, or admin roles
  • based in San Francisco and able to be in the office daily as needed with flexibility for occasional evenings to work events

Job Qualifications

  • 2-3+ years of experience in office coordination, event management, hospitality, or administrative roles, ability to be based in San Francisco with flexibility for occasional evening events, extroverted and warm personality with high energy, exceptional organizational skills and attention to detail, high agency and autonomy with the ability to self-direct work, hands-on attitude willing to perform physical tasks, experience at a growth startup or events agency is a plus, passion for tech and AI with a desire for long-term career growth, familiarity with AI tools to enhance productivity is desirable

Job Duties

  • Own end-to-end event execution for GrowthX in the Bay Area and beyond, source and secure venues, manage vendor relationships, handle contracts, and negotiate pricing to stretch every event budget, run the full logistics loop including registrations, RSVPs, run-of-show, setup, teardown, and post-event attendee follow-up, coordinate cross-functionally with sales and marketing to align on goals, guest lists, and event experiences, own the swag program end-to-end including sourcing, ordering, inventory, and fulfillment, be on the ground at every event acting as the point person from vendor communication to event cleanup, run the day-to-day operations of the San Francisco office including supplies, snacks, vendors, and visitor experience, serve as the friendly and organized face of GrowthX for office visitors and event attendees
