The role in question is a contract position for a Marketing Events Coordinator who will take full ownership of Hireology's external event program. This position requires managing a variety of events including trade shows, industry conferences, sponsorships, hosted dinners, leadership exchanges, and company events. The role is highly dynamic and execution-centric, requiring advanced coordination of event logistics such as booth management, venue sourcing, catering, audio-visual setups, and travel coordination. The Marketing Events Coordinator will collaborate closely with multiple internal teams including Marketing, Sales, Business Development, Customer Success, and Revenue Operations to ensure seamless event execution from concept to completion.
This role is based in Chicago and requires up to 15% travel. The ideal candidate will not only handle the logistical responsibilities but also focus on designing exceptional event experiences that leave lasting impressions on attendees. They will pay close attention to details such as timely communication, appropriate swag selection, and creating engaging atmospheres that elevate the brand. Reporting directly to the Chief Revenue Officer, the Marketing Events Coordinator will act as the central communication point and project manager across all event-related activities, ensuring that every stakeholder is informed, every budget item is tracked, and every event is executed with precision.
Key responsibilities include managing event registration, exhibitor services, sponsorship deliverables, virtual event logistics, post-event follow-up, budget reconciliation, and lead management through platforms like Salesforce and HubSpot. The coordinator will also oversee ongoing programs such as the Customer Loyalty Lab Coat Program, handling order reviews and vendor management. The role demands an experienced, detail-oriented professional comfortable working at a fast pace with multiple concurrent events. Job Requirements
- 3+ years of experience in event coordination or similar role
- Proven ability to manage multiple events simultaneously
- Strong attention to detail and organizational skills
- Experience with B2B or trade show events preferred
- Ability to coordinate travel logistics including hotels and flights
- Excellent communication skills for cross-functional collaboration
- Familiarity with project management tools like Monday.com
- Ability to work from Chicago office and travel as needed
- Commitment to delivering polished and professional event experiences
Job Qualifications
- Bachelor's degree preferred
- 3+ years of experience in event coordination or event operations
- Proven ability to manage multiple simultaneous events
- Strong project management skills
- Experience with travel logistics coordination
- Skilled cross-functional communicator
- Familiarity with Monday.com, Salesforce, and HubSpot preferred
- Experience with FedEx shipping and vendor portal management a plus
- Based in Chicago and able to travel up to 15%
Job Duties
- Manage end-to-end logistics for all external events
- Coordinate booth and exhibitor logistics including registration and advance shipping
- Manage venue sourcing, catering, AV, and on-site logistics for hosted events
- Coordinate sponsorship deliverables including branded materials
- Handle logistics for virtual/webinar events including speaker coordination and tech testing
- Design and enhance event experiences focusing on attendee engagement
- Identify and confirm internal event staffing and travel arrangements
- Send detailed event calendar holds and coordinate content readiness
- Build and maintain project tracking boards and reconcile event budgets
- Export lead lists and set up Salesforce campaigns for post-event follow-up
- Manage Customer Loyalty Lab Coat Program including order processing and delivery
