The Event and Promotions Coordinator position within Aramark specifically supports Seminole Dining, which is a vital component of the campus dining experience, operating multiple residential and retail dining locations including two dining halls and more than 28 retail outlets. This role is essential in planning, promoting, and executing engaging events and promotional activities that enhance the student experience, improve meal plan retention, and drive sales growth. The coordinator will work closely with culinary teams, marketing personnel, and operations staff to create memorable dining events that cater to a diverse campus community.

The coordinator manages the Seminole Dining events calendar across multiple platforms such as digital, print, and web, and is responsible for the logistical planning, coordination of staff, set-up and break-down of event spaces, and supply procurement. An important aspect is the ability to maintain accurate financial records and demonstrate return on investment (ROI) through detailed reporting to campus stakeholders. Budget management is a key responsibility, with fall and spring budgets of $10,000 and a summer budget of $5,000 allocated for event and promotional activities. The position also involves hosting regular meetings with staff to ensure clear communication and coordination of ongoing events.
Additionally, the coordinator identifies opportunities to expand promotional efforts into retail locations including spaces like 1851 Porch and Union locations through product sampling and in-person engagement. This role requires flexibility in working hours, including some evenings and weekends, to meet event scheduling needs. Physical capability to assist with event setup and breakdown is also necessary.

Job Requirements
- High school diploma or equivalent
- 1-3 years of relevant experience in event planning, hospitality, or promotions
- Ability to manage multiple projects and budgets

Job Qualifications
- 1-3 years of experience in event planning, hospitality, or promotions preferably in a campus or foodservice environment
- Proven ability to manage multiple projects, timelines, and budgets effectively
- Strong organizational and time management skills with keen attention to detail
- Excellent interpersonal and communication skills comfortable working with diverse teams and student populations
- Experience coordinating logistics and collaborating with internal departments and external partners
- Proficient in Microsoft Office Suite, Canva, and digital calendar/event platforms
- Ability to work flexible hours including evenings and weekends
- Physically able to assist with event setup and breakdown
- Knowledge of campus dining operations and student engagement strategies preferred
- Familiarity with ROI reporting and event performance tracking preferred
- Experience working in a university setting or with student programming initiatives preferred
- Basic understanding of food safety and dining service protocols preferred
Job Duties
- Build and maintain campus and community connections for collaboration opportunities
- Manage the Seminole Dining event calendar across digital, print, and web platforms
- Plan, promote, and execute events at dining halls and retail locations focusing on student experience, meal plan retention, and sales growth
- Lead event logistics including planning, team coordination, set-up/take-down, supply procurement, and staff collaboration
- Plan event details including activities, decorations, and themed food with the culinary team
- Maintain event records and provide reliable financial reporting for ROI and timely submissions
- Host bi-weekly/monthly meetings with staff to coordinate events
- Manage and update the Seminole Dining event wall with monthly calendar and weekly breakdowns
- Work within allocated budgets and provide itemized expenses for client approval
- Maintain accurate timecards and communicate adjustments
- Identify and implement product sampling opportunities and mobile/in-person promotions
- Expand event and promotions calendars to retail spaces like 1851 Porch and Union locations
