The role of Marketing and Sales Coordinator at South Port Square is integral to supporting the community's marketing and sales efforts, with a primary focus on administrative coordination, event planning, and providing hospitality to residents and prospective clients. This full-time position offers a competitive starting salary of $19.00 per hour and requires a candidate who is organized, proactive, and capable of managing a variety of operational and communication tasks. The Marketing and Sales Coordinator will serve as the face of the marketing office by greeting visitors warmly, answering and directing incoming phone calls, and managing the lead distribution system according to the Life Care Services Extraordinary Impressions program. The individual will coordinate marketing events while adhering to approved budgets, maintain marketing systems such as C3 Leads and C3 LinC, prepare and update reports, handle invoicing, and track office inventory diligently.

This role also entails key responsibilities such as updating the community website, managing social media strategies, assisting in the preparation of the annual marketing plan, and serving as the primary communication liaison between marketing, sales, other departments, vendors, and residents. The Marketing and Sales Coordinator coordinates move-in processes and preparations, manages office schedules, and ensures that all marketing materials and events meet community standards. Additionally, the candidate needs to maintain a professional appearance and attitude at all times, attend meetings as requested, and assist future residents in selecting available options like kitchen designs, flooring, and upgrades. Job Duties

  • Answers and directs incoming phone calls and manages the lead distribution system
  • greets and serves all visitors in the marketing office in accordance with the Life Care Services Extraordinary Impressions program
  • plans and implements all elements associated with marketing events within the approved budget
  • prepares and updates marketing and sales reports
  • processes all sales, cancellations, transfers and associated documentation
  • responsible for maintenance of marketing systems, including C3 Leads and C3 LinC, and capable of producing data results and system generated reports
  • processes invoices and maintains budget performance spreadsheets
  • manages the office by tracking inventory and ordering office supplies, collateral, and other printed materials within the approved budget
  • maintains and updates the office schedule including events, staff schedules and appointments
  • updates the community website and manages other digital responsibilities as assigned including social media strategy
  • assists with preparation of the annual marketing plan by creating data tables, compiling components and producing the final plan
  • coordinates and creates the marketing newsletter
  • serves as the primary marketing and sales contact for communication with other departments
  • provides administrative support to the Marketing and Sales Director and Residency Counselors
  • redirects residents to the appropriate contact for questions, comments or concerns
  • maintains a professional appearance at all times
  • attends meetings as requested
  • assists and guides future residents in available selections such as kitchens, flooring, colors, upgrades
  • communicates with internal stakeholders and vendors as needed for construction or physical plant changes
  • prepares closing documentation and internal communication timely and accurately
  • serves as the primary contact with future residents regarding move-in dates and details
  • updates the community move-in resource guide
  • maintains personal work areas in a presentable manner
