The Marketing and Commercial Support Specialist role is a vital behind-the-scenes position that ensures the smooth operation of marketing activities from inventory management to event logistics. This position reports directly to the Director of Marketing and Commercial Support and involves hands-on support with daily marketing tasks. The role involves managing the flow of materials, coordinating shipments, maintaining accurate inventory records, aiding in the creation of marketing collateral, and helping with event setup and execution.
Key responsibilities include graphic design support—assisting with basic marketing material creation such as signage and promotional content tailored to campaigns and events. The specialist is responsible for shipping and fulfillment duties, processing orders promptly and ensuring accuracy before distribution. Inventory management is another cornerstone, requiring routine counts and precise stock tracking to alert the marketing department about fast-moving or low-stock items, as well as maintaining organized storage facilities.
The specialist also handles financial coordination, particularly compiling monthly recharge reports and tracking promotional item usage meticulously to ensure budgetary and departmental accountability. Job Requirements

Job Duties
- create or assist with basic marketing materials, signage, and promotional content as directed
- work with marketing on design needs for campaigns and events
- process shipments and respond to urgent requests the same or next business day
- pick, pack, and ship marketing materials using approved carriers, checking every order for accuracy
- track, document, and confirm all outgoing shipments with the departments that requested them
- keep inventory records accurate and run routine and monthly full counts as needed
- sort out any count that doesn't add up, flag what's moving fast and what's sitting, and give marketing a heads-up on low stock before it runs out
- keep storage areas clean, organized, and labeled
- put together the monthly recharge report for each department and submit it by the due date
- track promotional item usage from website orders and keep clear records so each department gets charged correctly
- help plan and coordinate marketing events, including hotel accommodations, food and beverage, and promotional item prep
- make sure promotional materials are staged and available throughout events and campaigns
- be a point of contact on the ground during events to help solve logistics issues in real time
