Job Description

The Fayetteville Woodpeckers are a distinguished Minor League Baseball team that offers much more than just baseball games. As a central figure in Fayetteville, the Woodpeckers operate Segra Stadium, which stands out as one of the region's premier entertainment destinations. The stadium hosts 66 home baseball games during the season and is a vibrant venue for over 200 events annually. These events range from Holiday Lights celebrations to corporate meetings, military balls, banquets, proms, festivals, races, community celebrations, and private rentals. This unique blend of sports and entertainment positions the Fayetteville Woodpeckers as a vital and versatile part of the community, providing memorable experiences year-round.

Diamond Baseball Holdings (DBH) owns and operates the Fayetteville Woodpeckers along with nearly 50 Minor League Baseball clubs and venues across North America. DBH is a one-of-a-kind sports and entertainment company known for creating memorable moments through baseball, special events, concerts, cultural festivals, and innovative promotions. The Special Events Manager role at the Fayetteville Woodpeckers is a dynamic and essential position responsible for transforming Segra Stadium into a year-round destination beyond just baseball. This role requires an individual who is passionate about event management and capable of driving the development and execution of diverse events such as weddings, holiday festivities, corporate gatherings, and community celebrations. The Special Events Manager oversees the entire event lifecycle – from initial planning and contract negotiations to execution and post-event activities – ensuring every guest has an exceptional experience.

Key responsibilities include managing all non-baseball events at Segra Stadium, coordinating with internal teams and external vendors, and cultivating strong client relationships to generate new business. This position requires excellent communication and organizational skills, personal drive, and the ability to thrive in a fast-paced environment. The manager will work closely with marketing, sales, operations, food and beverage, and other departments to innovate and enhance event opportunities and create engaging fan experiences that drive revenue. A strong focus on customer service and professionalism is essential, as well as proficiency in technology and event management software. Job Requirements

  • Bachelor's degree in business, facility/hospitality/sport management or similar
  • 2-4 years related experience in event or venue operations, sales or marketing
  • excellent interpersonal and communication skills
  • outstanding computer skills including MS Office
  • knowledge of Tripleseat event management software is a plus
  • must be able to work holidays, evenings and weekends
  • ability to learn all videoboard and sound related equipment and basic functions

Job Duties

  • Act as the primary on-site contact for all non-MiLB events at Segra Stadium
  • work with all events from beginning to end including walk throughs, rate and contract negotiations, pre-event planning, food and beverage planning, staffing, load-in/out, event execution and post-event settlement
  • lead internal and external meetings as required, including walkthroughs and tours of event spaces for clients and vendors, menu reviews, department meetings, staff meetings, pre-shift meetings
  • organize and schedule internal staffing and work with 3rd party vendors for set-up, tear down and execution of events
  • cultivate strong working relationships with all team departments including operations, grounds, food & beverage, marketing and sales
  • proactively solicit new business by making sales calls/presentations, attending trade shows and engaging in client prospecting to exceed revenue targets
  • work with other departments to create and market new business opportunities and develop special event profit generating opportunities
  • collaborate with marketing to create events within events to drive fan engagement and revenue
  • create leads and develop long-term relationships in event planning, production and promotion communities
  • implement marketing plan and strategy for stadium outside events including maintaining website, social media and marketing materials
  • work with creative team to create compelling marketing materials for print, digital and trade shows
  • compile and distribute all pertinent event information timely
  • provide superior customer service before, during and after event
  • demonstrate and promote professional and positive attitude
  • create post event notes upon completion
  • prepare and provide reports including proformas, revenue reports, profit and loss statements and projections
  • ensure all event payments are received and track invoices
  • work with concessionaire on menu creation and execution of catering
  • complete other duties including tarp pulls and game duties
