The role of Manager of Special Events at Chapman University is a full-time, exempt position offering an anticipated pay range of $73,000 to $78,000 annually. This pivotal role is responsible for the conceptualization, planning, and execution of university events, with special focus on University Advancement-related functions involving senior university leadership such as the president, provost, and board of trustees or governors. This position requires a comprehensive approach to event management, from initial concept development through post-event evaluation. The successful candidate will lead logistical planning, vendor negotiations, and contract management across a spectrum of services including catering, audiovisual, rentals, and parking arrangements. Close collaboration with multiple university departments, including Advancement Operations, IS&T, ticketing teams, and campus partners, is essential to coordinate communication strategies, donation record maintenance, event registrations, and financial processing. - Bachelor's degree or equivalent education and experience
- Minimum of two years' experience in planning and executing special events
- Experience using event management venue reservation ticketing payment processing and advancement systems such as 25Live AudienceView TouchNet Blackbaud CRM or similar
- Ability to plan coordinate and execute logistics for special events and meetings including coordinating vendors travel facilities event materials and related support services
- Proven ability to exercise sound judgment and independent decision-making
- Ability to prioritize exercise initiative and work independently
- Proven ability to evaluate data assess alternatives and make decisions or recommendations
- Demonstrated ability to oversee and supervise volunteers vendors and committees
- Proficiency in Microsoft Office desktop publishing database management and internet
- Technical ability to learn and use university enterprise software and other data systems
- Skill to prepare financial forms monitor budgets and reconcile expenses

Job Duties
- Lead plan implement and oversee logistics for university advancement special events ensuring successful delivery from concept through post event evaluation
- Develop and utilize timelines schedules and databases to drive timely completion of strategic and project plans
- Negotiate and contract with vendors suppliers and event venues for catering rentals audiovisual parking and related services and review agreements to ensure service delivery
- Manage supervise and train event volunteer support team comprising volunteers students and staff
- Provide meeting notices agendas data minutes and other collateral necessary for each event
- Collaborate with Advancement Operations and Advancement Systems to maintain current donor information and gift records
- Collaborate with campus partners to identify effective communication strategies for internal and external audiences utilizing digital media website printed collateral and email communication
