Within the University Marketing and Communications division, the Special Events and Scheduling department is seeking a dedicated and experienced Manager of Special Events. This professional, classified as a salaried staff member, will play a pivotal role in organizing and executing events at several prominent campus locations including the USI University Center, Performance Center Dunn Lobby, and Griffin Center. With an annual salary of $50,000 and exempt FLSA status, this role is designed for a results-driven leader who can oversee the complexities of event logistics while maintaining excellent relationships with clients, vendors, and staff.

The Manager of Special Events is tasked with the comprehensive responsibility of planning, staffing, and managing all aspects of university events, focusing heavily on operational success and exceptional customer service. This includes the day-to-day coordination to ensure event spaces are properly set up, staffed, and supported technically with up-to-date audio-visual equipment and technical services. The role requires direct supervision of a dedicated team, including one full-time event support staff member and 10-12 part-time student workers, emphasizing team mentoring and training to empower staff to operate confidently, even during evenings and weekends.

Key duties also encompass vendor relations, shuttle and transportation management, inventory control, and strict adherence to ADA compliance and fire safety codes. The Manager acts as the primary liaison to enforce university policies regarding event safety, alcohol use, security, advertising, and parking, in collaboration with various university departments such as Sodexo/USI Dining Services and Public Safety. Their efforts ensure not only the logistical success of events but also the creation of a safe, efficient, and welcoming environment for all attendees.

The position demands a high level of organizational skill, exceptional communication capabilities tailored to a diverse audience, and the ability to proactively anticipate and resolve challenges. Ideal candidates possess strong proficiency in Microsoft Office and event management software like Social Tables, along with a valid driver’s license and compliance with USI's vehicle safety policy. The Manager maintains a visible presence across event venues, actively addressing issues and ensuring all facility operations meet university standards.

USI’s culture of continuous professional development is reflected in the Manager’s participation in ongoing training and team meetings, enhancing the department’s capabilities and adapting to evolving event management trends. Work hours are primarily Monday through Friday, 8:00 a.m. to 4:30 p.m., with occasional evening and weekend commitments based on event schedules, including after-hours support for student workers.

Job Requirements

  • Bachelor’s degree required
  • Three to five years’ experience in event or conference management
  • Two years of supervisory experience
  • Strong verbal and written communication skills
  • Ability to work effectively with diverse groups
  • Competency in Microsoft Office
  • Experience learning new software tools
  • Valid driver’s license and acceptable driving record
  • Physical ability to perform event-related duties, including lifting up to 35 pounds
  • Flexibility to work evenings and weekends as needed

Job Qualifications

  • Bachelor’s degree preferably in hospitality, event management, or related field
  • Three to five years of professional experience in event or conference management
  • At least two years of supervisory experience

Job Duties

  • Oversee the daily logistical execution, staffing, and technical operations of events and meetings held on campus
  • Hire, train, mentor, schedule, and evaluate event support staff
  • Lead event support team consisting of full-time and part-time student workers, providing daily briefings
  • Provide annual and ongoing training on event guidelines, facility setup, ADA standards, and equipment operations
  • Provide audio-visual support including equipment setup for presentations and virtual meetings
  • Conduct and maintain inventory of all special events equipment and supplies
  • Supervise shuttle operations including vehicle management and staff scheduling
  • Enforce university policies on event safety, alcohol service, decorations, advertising, and parking
  • Collaborate with dining services and other departments to ensure smooth event operations
  • Perform routine facility walk-throughs to resolve or report issues
  • Process work orders and log lost and found items
  • Attend team meetings and professional development sessions
  • Perform other duties as assigned
