Job Description

The 4As, also known as the American Association of Advertising Agencies, serves as the authoritative voice of the agency community across the United States. Founded over 108 years ago, this esteemed organization has continuously evolved its mission to meet the dynamic needs of its members and the broader advertising industry. Representing a sector that commands nearly half a trillion dollars in spending annually and contributes approximately 20 percent to the US GDP, the 4As plays a vital role in shaping the direction and future of advertising. The 4As is currently seeking a Manager, Events to join its Content, Digital & Brand business unit located in the New York City area, offering a hybrid work environment. This exempt position reports directly to the Vice President of Events and Conferences, with a salary range between $75,000 and $85,000, reflecting the experience and capabilities the successful candidate will bring to the role.

As the Manager, Events, you will be tasked with co-planning and managing the production of both in-person and virtual events that are flawless and engaging for attendees. This role requires a self-directed, enthusiastic, and collaborative professional who is adept at using data to inform strategic decisions. You will work closely with internal teams, including Partnerships and Practice leads, to implement comprehensive event strategies that align with the organization’s overarching goals.

Your responsibilities will encompass full ownership of event execution, including the intricate logistics of venues, catering, signage, photography, and on-site staffing. You will independently manage speaker communication processes, ensuring timely follow-ups and adherence to event timelines. The role demands excellent project management skills, the ability to handle multiple priorities, and a keen eye for innovative event strategies. Success in this position means you’ll be continuously pushing boundaries, proposing new ideas, and establishing best practices that enhance the attendee experience and maximize engagement.

A crucial aspect of the role is maintaining effective collaboration across the marketing team and the wider 4As community to deliver seamless events that resonate with attendees. The Manager, Events will also contribute to budget tracking, vendor management, registration processes, and event marketing calendars. Job Requirements

  • 7+ years of events operations experience, specifically delivering live event programs with 300+ attendees and managing virtual event programs with 100+ attendees
  • Ability to facilitate cross-functional collaboration for event creation, planning and execution
  • 2+ years experience with Salesforce or similar CRM
  • Excellent project management skills with ability to meet deadlines and manage multiple events
  • Ability to balance creative ideation with ongoing process improvements
  • Strong analytical skills for data-driven decision-making
  • Capacity to thrive in dynamic, fast-paced environments with positive attitude and collaboration
  • Knowledge of current marketing, industry and event trends
  • Proficiency with project management and event management software
  • Experience with production management and media tools such as Adobe Suite preferred

Job Duties

  • Full ownership of event execution, logistics and operations
  • Independently manage venue coordination and on-site logistics including catering, signage, hotel, photography and on-site staffing
  • Own event speaker management process from end-to-end
  • Manage speaker communication processes and ensure event timeline is met
  • Partner with VP of Events & Conferences and EVP, Content, Digital & Brand to align key stakeholders across event strategies
  • Develop and lead project timelines and event production workflow
  • Drive best practices for live event strategy and selection including promotion, giveaways, branding, on-site experience and messaging
  • Manage event registration and badging
  • Organize and maintain in-house event supplies and inventory
  • Manage event marketing calendar
  • Partner with marketing team on digital demand generation, on-site signage, creative needs and post-event follow-up
  • Assist VP of Events with event budget tracking and processing vendor invoices
  • Ensure necessary event reporting including registration, timeline, status, budget and post-event reporting
  • Build processes for repeatability and scalability of events
  • Deliver new ideas and creative approaches
  • Drive best practice and process improvement documents
