The role of Event Services Manager at the Dr. Phillips Center is pivotal in ensuring the seamless execution of non-ticketed corporate, non-profit, social, and internal events. This fast-paced and dynamic position requires a detail-oriented professional with outstanding collaboration and communication skills, alongside a genuine passion for hospitality. The Event Services Manager is responsible for overseeing every aspect of the client and guest experience, ensuring that each event is executed flawlessly from planning stages through to completion.

In this role, the Event Services Manager will manage and execute all non-ticketed events, building strong and lasting client relationships by securing event details and supporting clients with creative and practical solutions for floor plans, audio-visual needs, menu proposals, and banquet event orders. The manager will develop service and equipment estimates that align with client budgets while identifying opportunities for upselling in partnership with sales, food and beverage, and production teams. Exceptional client service is paramount, requiring a consultative approach that includes detailed communication and professional client engagement.

The Event Services Manager also plays a critical role in coordinating event logistics, distributing detailed event information and timelines to internal operations teams, and collaborating in meetings to anticipate challenges and ensure flawless execution. Coordination with external vendors is essential to manage pre-event planning, on-site execution, and post-event follow-up, particularly when navigating complex load-ins and load-outs alongside overlapping shows. Financial accuracy is maintained through timely submission of client invoices and internal documentation to support departmental revenue goals.

Serving as the primary client liaison on-site, the Event Services Manager leads operations teams and vendors during event setup, execution, and breakdown, addressing any guest needs proactively and maintaining high standards of customer service and professionalism. Post-event debriefs with internal teams help evaluate successes and identify areas for improvement. The position also involves managing internal events and related financials, cultivating industry relationships, attending trade shows and networking events to stay abreast of industry trends, and maintaining composure and diplomacy under pressure, particularly when serving high-touch or demanding guests.

This role requires excellent communication skills in English, both written and oral, and the ability to work a variable schedule including evenings, weekends, and holidays to meet the operational needs of the Dr. Phillips Center. Job Requirements

  • Associate's or Bachelor's degree in events, hospitality, business administration, or related field strongly preferred
  • Minimum of 3-5 years of event management experience
  • Proficient in office systems including Excel, Word, PowerPoint, and Outlook
  • Ability to perform moderately complex mathematical functions
  • Knowledge of event industry software such as Momentus Elite, Tripleseat, and Social Tables a plus
  • Ability to plan, prioritize, organize and multi-task in a fast-paced environment
  • Creative problem-solving skills
  • Outstanding interpersonal, client relations and guest service skills
  • Strong work ethic with limited supervision
  • Ability to work a variable schedule including evenings, weekends and holidays
  • Effective communication skills in English, both written and oral.

Job Qualifications

  • Associate's or Bachelor's degree in Events, Hospitality, Business Administration, or related field strongly preferred
  • Minimum of 3-5 years of event management experience
  • Certified Meeting Professional (CMP) designation strongly preferred
  • Proficient in office systems including Excel, Word, PowerPoint, and Outlook
  • Knowledge of event industry software such as Momentus Elite, Tripleseat, and Social Tables is a plus
  • Ability to plan, prioritize, organize, and multi-task in a fast-paced environment
  • Creative problem-solving skills and enthusiasm for the events industry
  • Outstanding interpersonal, client relations, and guest service skills
  • Experience serving sophisticated clientele
  • Strong work ethic with limited supervision.

Job Duties

  • Manage and execute all non-ticketed external and internal events, building strong client relationships while securing event details
  • Support clients with creative floor plan designs, comprehensive audio-visual plans, creative menu proposals, detailed banquet event orders, and event timelines for distribution to all internal operations teams and clients
  • Develop accurate service and equipment estimates aligned with client budgets while identifying upselling opportunities in partnership with sales, food and beverage, and production teams to increase event revenue
  • Provide first-class client experience by partnering with clients with a consultative approach, ensuring timely and detailed communication, hosting and engaging clients professionally, and conducting thorough facility tours
  • Oversee the planning and distribution of all event information, production details, and timelines to operation teams within the building
  • Coordinate closely with external vendors through pre-event planning, on-site execution, and post-event follow-up to ensure seamless operations
  • Submit client invoices and internal finance documentation for all event services and rentals, ensuring accuracy and timely payments
  • Serve on-site as primary client liaison and manager on duty, providing leadership to operations teams and vendors throughout event setup, execution, and breakdown
  • Lead post-event debriefs with internal teams to evaluate successes and identify opportunities for improvement
  • Manage internal events and related financials with accuracy
  • Cultivate industry relationships and attend trade shows, networking events, and professional meetups
  • Maintain composure under pressure while working effectively with all clients, demonstrating patience, tact, diplomacy, and upholding center standards of excellence
  • Effectively communicate in English both written and oral
  • Perform other duties as assigned.
