The role offered is a Group Services Coordinator position focused on managing the complete lifecycle of group bookings from initial reservation through to event completion. This position directly supports both the sales team and hotel operating departments by ensuring every aspect of group arrangements meets client expectations and contractual requirements.
The Group Services Coordinator will act as a vital liaison between the hotel and group clients, coordinating logistics, communication, and service needs involved in hosting successful group events. Responsibilities include collaborating with sales managers, initiating client correspondence, conducting pre-convention meetings, and maintaining constant communications with both clients and internal departments. The incumbent will manage group room blocks, billing, invoicing, and billing discrepancies while ensuring accuracy within the designated group management platform. They will also provide on-site service during the event including greeting clients, assisting with requirements, and providing hands-on support. Additionally, the role involves coordinating approved transportation services, disseminating group information to hotel departments in advance, auditing room night usage, and assisting sales managers with site inspections and other duties as assigned.
This full-time position requires excellent organizational, communication, and multitasking skills. The successful candidate will have prior experience in hotel sales or event coordination, familiarity with relevant software platforms including Ivvy, and the ability to build strong client relationships. Proficiency in English is essential, with bilingual Spanish skills considered a strong asset. Job Requirements

- College degree in marketing hotel management or business administration preferred
- Two years experience in hotel sales preferred
- Knowledge of Ivvy Microsoft Word and Excel preferred

Job Duties
- Coordinate and service all logistics of assigned group from initial booking through meeting requirements and departure
- Establish expectations with each individual Group Account sales manager
- Initiate client correspondence with an introduction letter agenda and any other pertinent information
- Conduct pre-convention meetings with meeting planner and all hotel operating department representatives which are involved in the program
- Maintain close contact with client on regular basis both verbally and with written confirmation of changes and updates
- Copy sales manager and coordinator on all correspondence
- Ensure all contract information is correct and updated in iVvy group management platform
- Review and adjust group room block inventory
- Create rooming list cover sheet with details including the billing for each sub group when necessary
- Prepare and distribute estimated invoices and collect client payments
- Assist with billing discrepancies with the intent of resolving to the satisfaction of all parties
- Prepare and submit on property sign requests
- Arrange limo transfers approved by Director or Vice President of Sales
- Disseminate group resumes which include profiles agendas and requirements to all hotel operating departments two weeks prior to the groups arrival
- Service the in-house groups which includes greeting main contacts everyday to make sure all their expectations are met assisting main contacts with anything that they might require or update provide personalized on the floor attention to all in-house programs
- Conduct internal room night audits
- Assist sales managers with VIP site inspections
- Assist other CSM positions when needed
- Participate in continuing education and management training provided by Hotel
- Perform all duties as deemed necessary for the success of the department
- Perform other duties as requested by Director and Vice President of Sales
- Fully understand and memorize company mission vision statement CORE values and goals
