Job Requirements

  • six years of event management experience in large-scale corporate events
  • two years of experience working directly with event vendors
  • proficiency in PowerPoint and Excel
  • experience working remotely with executive leaders and partners
  • willingness to lift and move heavy boxes and stand for long periods
  • travel up to 50 percent of the time
  • bachelor's degree preferred
  • proficiency in project/event management tools and Cvent preferred
  • prior experience in event production agency preferred
  • experience presenting to senior executives preferred

Job Qualifications

  • Six years of event management experience in large-scale corporate events
  • two years' experience working directly with event vendors including creative agencies, AV companies, DMCs, registration and housing companies, event production
  • proficiency in developing executive-level PowerPoint presentations
  • proficiency in Excel including complex spreadsheets and functions
  • experience working in a remote matrix organization with executive leaders and partners
  • willingness to lift and move heavy boxes and stand for extended periods
  • proficiency in project/event management tools and Cvent
  • bachelor's degree
  • experience presenting to C-suite executives
  • previous experience at an event production agency

Job Duties

  • Lead events from conception to planning and execution
  • develop and update project plans for business owners' approval
  • lead calls with internal partners and vendors to ensure tasks are documented and workstreams are within budget and timelines
  • manage RFP and RFQ processes with agencies, vendors, venues, and hotels
  • manage sourcing and contracting of venues, vendors, and speakers/entertainment
  • prepare PowerPoint presentations and present regular updates to internal partners and senior leaders
  • manage all event logistics including housing, creative branding, breakouts, General Session, tradeshow, shipping/receiving, staffing, supplies, transportation, sponsorships, AV, amenities mobile app, registration, event technology, F&B
  • collaborate with internal and agency partners on sponsorship plans, session content, creative branding, and sourcing/contracting
  • execute event compliance with Hilton policies and procedures
  • manage reporting and project tracking documents
  • recommend efficiency improvements for attendee experience and event execution
