This role is virtual/remote and offers a salary range from $80,000 to $110,000, depending on experience and location. Reporting directly to the Senior Director of Special Events, the Manager will collaborate extensively with internal partners and vendors to develop and implement comprehensive event strategies that align with business objectives, messaging, requirements, budgets, and timelines. \n\nThe conferences managed by this role are large-scale, accommodating up to 10,000 attendees, and comprise a wide variety of components such as multiple General Sessions, learning tracks, breakout sessions, vendor showcases, trade shows, off-site and evening events, and meal functions. The Manager will lead every phase of events from conception through execution, ensuring seamless coordination of complex logistics, budgeting, and vendor relationships. \n\nA significant aspect of this role is managing the Request for Proposal (RFP) and Request for Quote (RFQ) processes, sourcing and contracting venues, vendors, and speakers or entertainment. The Manager will prepare executive-level presentations using PowerPoint and maintain meticulous project tracking documents to provide regular status updates to senior leaders. They will also ensure all event activities comply with Hilton's Travel and Entertainment policies and legal requirements. \n\nCollaboration is key, as the Manager will work closely with various internal and external partners including Hilton Supply Management for sponsorship planning, creative agencies for branding, and marketing teams for asset approvals. The position demands strong skills in multitasking across different workstreams such as housing, creative branding, general sessions, trade shows, shipping, staffing, and food and beverage operations. The Manager is expected to identify risks, propose alternative methods to enhance efficiency, and contribute to an exceptional attendee experience. \n\nThis role requires a minimum of six years of event management experience, particularly in strategizing and executing large-scale corporate events, along with proficiency in PowerPoint and Excel. Experience working with various event vendors and remote collaboration with executive leaders is essential. Willingness to travel up to 50% and the ability to handle physical demands such as lifting and standing for extended periods are also required. Job Qualifications

  • Six years of event management experience, specifically in strategy and execution of large-scale corporate events
  • demonstrated skills in work task allocation and prioritizing multiple concurrent workstreams
  • proficiency in developing executive-level presentations in PowerPoint and working in Excel
  • two years of experience working directly with event vendors including creative agencies, AV companies, DMC companies, registration and housing companies, event production
  • experience working remotely with executive leaders and partners in a matrix organization
  • willingness to lift and move heavy boxes and stand for long periods
  • BA/BS Bachelor's Degree preferred
  • proficiency in project/event management tools and Cvent preferred
  • previous experience with events production agency preferred
  • experience presenting to senior level executives preferred

Job Duties

  • Lead events from conception to planning and execution
  • develop and update project plan for business owners' approval
  • lead calls with internal partners and vendors
  • manage RFP and RFQ processes with agencies, vendors, event venues and hotels
  • manage sourcing and contracting of venues, vendors and speakers/entertainment
  • prepare PowerPoint presentations and present regular updates to internal partners and senior leaders
  • manage all event logistics for the success of the event including housing, creative branding, breakouts, General Session, tradeshow, shipping/receiving, staffing, supplies, transportation, sponsorships, AV, amenities mobile app, registration, event technology, F&B
  • collaborate with internal and agency partners on sponsorships, brand sessions, creative branding and sourcing
  • alert leadership of any risk around objectives, attendance, budgets, and timelines
  • recommend alternative methods and efficiencies for workstream execution and attendee experience
  • manage and distribute reports, project plans and tracking documents
  • ensure compliance with Hilton Travel and Entertainment policy for event compliance
