The Main Office Administrative Assistant & Receptionist will act as the welcoming face of the school, balancing warm hospitality and precise administrative functions. Responsibilities include managing the main phone system, greeting visitors, overseeing student attendance records, maintaining sensitive student files, coordinating schedules, supporting event logistics such as graduations and faculty luncheons, managing financial records related to purchases and reimbursements, and assisting with travel arrangements for faculty and school trips. This role also entails providing basic student health support by handling first aid and managing parent communications for ill students.

Additionally, this position demands close cooperation with campus security on visitor check-in protocols to ensure a safe environment compliant with school policies. The role is pivotal in supporting the academic operations, including scheduling and logistical support for staff and students alike. Beyond administrative tasks, the Assistant will contribute to maintaining the organizational culture and efficient operation of the school through campus stewardship activities such as managing office supplies, overseeing locker assignments, and liaising with facilities management.

To be successful, the candidate must possess a bachelor’s degree and at least two years of administrative experience, ideally within educational or non-profit settings. Strong technical skills in Google Workspace, Microsoft Office, and preferably experience with school information systems like Blackbaud are required. Job Duties

  • serve as the face of the school greeting students parents and guests with a professional and helpful demeanor
  • manage the main multi-line phone system and general email inquiries ensuring timely and accurate routing of information
  • oversee the guest check-in process in coordination with campus security to maintain safety and policy compliance
  • meticulously manage daily student attendance records follow up on unexplained absences and maintain database integrity
  • maintain organized administrative and student records including health files handling information confidentially
  • coordinate scheduling support for administrative staff including field trips permission slip collection and travel/hotel arrangements for visiting faculty
  • partner with the director of events on logistics including graduation senior week faculty lunches and formal dinners
  • process faculty and staff purchases manage receipts and reimbursements interfacing with the business office
  • support planning budgeting and communication for domestic and international school trips
  • provide basic health support including dispensing OTC medications and first aid supplies coordinating parent pickups for ill students and updating health records
  • maintain office and campus spaces liaise with facilities for classroom and common area upkeep manage cabinet space keys and locker assignments
  • drive school vans occasionally to chaperone students
