The role being recruited for is a Vehicle Operations Coordinator, a critical position responsible for overseeing the logistics and management of vehicle sales lanes at auctions. This position requires an individual who can ensure that all necessary equipment is prepared and functioning properly before sales events. The Vehicle Operations Coordinator will conduct presale walks to monitor vehicle placement, identify any discrepancies such as missing or inoperable vehicles, and manage overflow and lane changes effectively. They are tasked with maintaining accurate run lists that track vehicles without keys, late entries, or changed numbers, thereby supporting a clear and organized sale process.

In addition to managing vehicle logistics, the coordinator will serve as a liaison between drivers, customers, and dealers, addressing inquiries and concerns to uphold the quality of customer service. A significant part of the role involves conducting pre-sale meetings to communicate critical information such as driver return routes and lane changes, ensuring all personnel are aligned and informed. The Vehicle Operations Coordinator will actively direct and coordinate traffic flow to the block, reassign drivers as necessary to avoid operational disruptions, and oversee the parking and re-parking of vehicles post-sale.

Safety is paramount in this position. The coordinator is expected to identify and report any safety concerns, lot damage, or theft immediately to management. Handling unsafe vehicles involves securing keys and prompt reporting to maintain a safe environment for all participants. Job Duties

  • Ensure all required equipment is ready and in proper working condition
  • conduct presale walks to identify missing vehicles, overflow areas, inoperable vehicles and any other lane changes
  • ensure vehicles within assigned lane are parked and ready for sale in a timely manner
  • maintain the run list indicating vehicles with no keys, late vehicle entries, and/or late number changes
  • coordinate and monitor re-runs or vehicles ran out of sequence
  • handle customer and dealer inquiries and concerns
  • conduct pre-sale meeting with drivers identifying driver return routes, overflow areas, and other changes in the lane
