Job Description

The Alaska Native Tribal Health Consortium (ANTHC) is a distinguished non-profit tribal health organization dedicated to addressing the unique health needs of Alaska Native and American Indian people residing in Alaska. The Lodging Representative role at ANTHC plays a crucial part in supporting the organization's health service delivery by managing accommodations for patients and their escorts receiving medical care at ANMC. The position ensures a seamless guest experience, acting as the primary contact for lodging guests. Duties include overseeing guest check-ins, confirming lodging arrangements, responding to general lodging inquiries, and locating Medicaid lodging accommodations. The position requires auditing patient medical records to address discrepancies with lodging reservations and assisting guests in navigating the ANTHC campus effectively.

The role involves working closely under management supervision to implement patient lodging policies and procedures while maintaining a commitment to hospitality. Lodging Representatives provide courteous and attentive assistance, confirm lodging eligibility, conduct background checks for housing eligibility, and manage room inventory and reservation systems. They are also responsible for issuing meal cards with accurate per diem allocations and coordinating daily activities with other team members. Higher-level Lodging Representatives take on additional responsibilities such as training staff, troubleshooting property management systems, conducting night audits, generating management reports, and serving as airport liaisons to facilitate patient travel.

Job Requirements

  • High school diploma or GED equivalent
  • One or more years of customer-facing experience or equivalent education and training
  • Required to work weekends, holidays, and evenings
  • Ability to perform background checks
  • Ability to use computer systems including Microsoft programs
  • Valid knowledge of lodging Medicaid processes
  • Ability to navigate multiple software systems
  • For higher levels, must take on call responsibility on a rotating schedule
  • Experience with hotel front desk operations or equivalent customer service roles
  • Strong communication and organizational skills
  • Ability to handle confidential information according to HIPAA and Privacy Act
  • Demonstrated conflict resolution skills
  • Ability to work effectively with diverse populations

Job Qualifications

  • High school diploma or GED equivalent
  • Associate's degree in hospitality or equivalent combination of related experience and education for higher levels
  • One year of customer-facing experience for entry level
  • Two years of hotel front agent or customer-facing experience for mid-level
  • Two to four years of hotel service experience or equivalent ANTHC lodging experience for advanced levels
  • Proficiency with property management systems and multiple internal software applications
  • Knowledge of Alaska Tribal Health System and Alaska Native culture
  • Strong oral and written communication skills
  • Ability to manage multiple tasks and prioritize effectively
  • Customer service skills
  • Ability to train and collaborate with leadership

Job Duties

  • Operates the front desk following patient lodging policies and procedures
  • Completes confirmation calls before guest arrival and provides attentive, courteous, and efficient service to all guests
  • Determines lodging eligibility including beneficiary status, referral status, background check, and residency status
  • Oversees and coordinates lodging arrangements for patients and their escorts
  • Performs background checks to ensure housing eligibility
  • Upholds lodging commitment to hospitality with attentive and courteous assistance
  • Determines Medicaid hotel availability and assists guests in off-campus accommodations
  • Answers inquiries about lodging services, shopping, dining, entertainment, and travel directions
  • Coordinates with tribal healthcare organizations to ensure patient appointments, travel, lodging, and transportation are completed
  • Issues meal cards with accurate per diem allocations and verifies no duplication
  • Acts as primary contact for housekeeping and maintenance staff when guests report problems
  • Works closely with Food and Nutritional Services, Security, Ronald McDonald House, and other partners to improve guest service
  • Coordinates daily activities with fellow representatives
  • Ensures safety and training understanding and enforces all fire and life safety procedures
  • Primary agent for making and assigning reservations
  • Manages room inventory using queuing systems and property management software
  • Ensures timely guest check-out
  • Processes discharge and urgent requests
  • Conducts random weekly room inspections
  • Performs night audit and reporting tasks
  • Trains and troubleshoots property management systems
  • Navigates and documents within all ANMC software applications
  • Reviews medical charts to determine lodging request appropriateness
  • Communicates with clinic staff to facilitate patient lodging
  • Provides management with daily concise reports
  • Greets and assists Elders during check-in
  • Facilitates travel arrangements and assists at airport kiosk
  • Serves as shift lead and supports team members
  • Mentors team and partners with leadership on process improvements
  • Operates ANTHC stations independently following policies and procedures
  • Performs other duties as assigned
