Job Requirements
- High school diploma or equivalent
- proven work experience as a receptionist or front office representative
- experience with Microsoft Office Suite
- hands-on experience with office equipment
- professional attitude and appearance
- solid communication skills in English and Spanish
- ability to be proactive and resourceful
- excellent organizational and multitasking skills
- customer service orientation
Job Qualifications
- Experience with Microsoft Office Suite required
- high school diploma or equivalent
- additional certification in Office Management is a plus
- proven work experience as a Receptionist, Front Office Representative, or similar role
- hands-on experience with office equipment (e.g., fax machines and printers)
- professional attitude and appearance
- solid written and verbal communication skills in both English and Spanish
- ability to be resourceful and proactive when issues arise
- excellent organizational skills
- multitasking and time-management skills, with the ability to prioritize tasks
- customer service attitude
Job Duties
- Welcome and greet visitors at the front desk in a warm and professional manner
- manage appointment setting and maintain calendars for staff and visitors
- receive, sort, and distribute daily mail and deliveries throughout the organization
- process checks and handle basic financial documentation
- handle employee inquiries and provide accurate information in-person, via phone, and email
- set up and coordinate office events, meetings, and activities
- answer, screen, and forward incoming phone calls
- maintain a tidy and presentable reception area
- maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- perform clerical duties such as filing, photocopying, and faxing
- coordinate with facility management for any repairs or maintenance issues
- order office supplies and maintain inventory of stock
