This role is a unique opportunity within Live Nation Entertainment's Special Events Sales Department. The position is designed for administrative and operational professionals who thrive in fast-paced environments and are passionate about live events and customer service. As an administrative support provider, the role is integral to managing the multifaceted logistics that go into event sales and execution. The ideal candidate will play a crucial role liaising between the Sales, Finance, Logistics teams, and clients to ensure smooth pre-event coordination, effective event execution, and meticulous billing processes. The role balances administrative responsibilities with basic accounting functions, ensuring that event-related financial documents are processed accurately.

Responsibilities extend beyond administrative duties to include maintaining detailed departmental records, updating CRM databases, coordinating client communications, and supporting on-site event logistics. The position demands excellent organizational skills, attention to detail, and the ability to efficiently handle multiple tasks such as creating meeting day packets, managing site visits, preparing reports, and assisting with event setup. Job Requirements

  • High school diploma or equivalent
  • Previous experience in administrative support or event coordination
  • Ability to manage multiple priorities effectively
  • Strong written and verbal communication skills
  • Basic math and accounting skills
  • Familiarity with CRM databases
  • Ability to work flexible hours including occasional event days
  • Strong interpersonal skills
  • Proficiency in office software applications

Job Duties

  • Assist in vetting incoming leads from incoming calls, emails, voicemails, and RFPs by gathering initial information as needed
  • Help maintain and audit departmental files
  • Reconcile post-event paperwork, close event files and upload corresponding documents to event folders
  • Maintain and update customer and sales data in CRM systems as requested
  • Generate and distribute SEO/Meeting Day Packets for venue
  • Send weekly update emails to the Linq including client bus schedules and upcoming events
  • Prepare and distribute 6 Month Report and 14 Day Report weekly for venue
  • Act as a Site Visit Coordinator for the venue including gathering weekly schedules, coordinating branding with Production Dept, and assisting with client refreshments upon arrival
  • Assist with content creation and organization such as creative service requests and event gallery uploads
  • Participate in special projects as assigned by Director of Sales or Senior Logistics Manager
  • Send pre-con invites as assigned
  • Update Ops one-sheet notes
  • Create event pull sheets
  • Create tray pass sheets
  • Prepare buffet tags and signage
  • Prepare Ops clipboard including pull sheets, SEO, floorplan, envelopes of drink tickets and buffet tags envelopes
  • Take notes on monthly staffing call
  • Update venue concerts in Caterease calendar notes
  • Ensure advance reservation sheet has all events listed
  • Assist with event linen laundry
  • Assist with buffet décor organization and storage
  • Audit event folders to ensure all documents are in place for events
  • Assist with load-in and general event setup
  • Attend staff event pre-shifts when assigned
  • Review buffets and floorplan setups prior to doors and walk venue to tidy as needed
  • Provide station presentation and décor enhancement assistance
  • Attend client pre-event meetings as needed
  • Welcome guests and help direct them politely into the venue
  • Support Operations on floor such as bussing or buffet needs, vendor checks, and tray pass circulation
  • Process event payments and record them (Clover, ACH wire forms, manual check deposits)
  • Assist with updating monthly accrual spreadsheets and vendor invoice submissions
  • Provide assistance with month-end close processes
