The College of Life Sciences at BYU is seeking a part-time Life Sciences Event Coordinator to join their dedicated team. This exciting role involves planning, coordinating, and executing a broad range of engaging events that align with the college's mission and help foster meaningful connections throughout the community. As the Life Sciences Event Coordinator, the successful candidate will collaborate directly with leadership teams, including deans and stakeholders, to develop effective event strategies with clearly defined goals and success metrics. The role demands a high level of organizational skill and communication proficiency to manage event timelines, communications, invitations, and promotional efforts that ensure every event runs smoothly and achieves its objectives.
Beyond planning, the coordinator will oversee all event logistics, including but not limited to venue bookings, catering services, vendor partnerships, and necessary equipment or supplies. Functioning as the key contact for both internal and external stakeholders, the coordinator will provide exemplary support, guiding events from conception through execution to wrap-up. On-site responsibilities include managing setup, registration, troubleshooting issues as they arise, and ensuring a seamless event breakdown process. Post-event analysis and evaluation form a critical part of the role, as the coordinator tracks outcomes and recommends improvements to enhance future events continuously.

Job Requirements
- A firm commitment to the mission of BYU
- Two years of event-planning experience
- Familiarity with event and communication etiquette
- Willingness to become familiar with university policies, procedures, and systems
- Strong organizational and multitasking skills
- Effective written and verbal communication
- Ability to work with diverse stakeholders
- Detail-oriented with strong problem-solving skills
- Experience managing event logistics and vendors
- Proficiency in Microsoft Office or similar tools
- Ability to work occasional evenings/weekends
Job Qualifications
- Bachelor's degree or four years of event planning experience or equivalent combination of education and experience
- Two years of event-planning experience
- Familiarity with event and communication etiquette
- Strong organizational and multitasking skills
- Effective written and verbal communication
- Ability to work with diverse stakeholders
- Detail-oriented with strong problem-solving skills
- Experience managing event logistics and vendors
- Proficiency in Microsoft Office or similar tools

- Familiarity with Adobe Creative Suite programs
- Familiarity with Canva and Mailchimp
- Experience in higher education or academic events
- Familiarity with event management platforms
- Experience with event marketing or communications
- Basic budgeting experience
Job Duties
- Plan and execute engaging events that strengthen community and connection across the college
- Collaborate with college leadership, deans, and stakeholders to develop event strategies, goals, and success metrics
- Create and manage event timelines, communications, invitations, and promotional efforts to ensure seamless coordination
- Oversee all event logistics, including venue reservations, catering, vendor partnerships, and event supplies/equipment
- Serve as the primary point of contact for internal and external event stakeholders, providing excellent communication and support
- Lead on-site event operations, including setup, registration/check-in, troubleshooting, and event breakdown
- Conduct post-event evaluations, track outcomes, and recommend improvements to enhance future events
- Maintain organized event documentation and historical records to support long-term planning and continuous improvement
