Job Description

Madison Public Library (MPL) is a vital community institution dedicated to providing exceptional educational, cultural, and recreational resources to the residents of Madison and surrounding areas. As a cornerstone of public knowledge and community engagement, MPL offers a diverse range of programs, events, and services that foster lifelong learning and community connection. The Monona Terrace Event Coordinator is a part-time position, scheduled for approximately 20 hours per week, which includes flexible hours during weekdays, weekends, and evenings to align with the varied schedule of library events and activities. The base working hours are typically from 12PM to 4PM but may vary depending on event needs. This position is responsible for the administrative and customer service coordination of events held at Madison Public Library. Reporting to the Event Services Specialist and receiving support from other Event Services staff, the coordinator will play a critical role in planning, organizing, and overseeing the smooth execution of assigned events.

The role involves thorough preparation and follow-up related to each event, ensuring high-quality service that meets client expectations. This includes collaborating closely with multiple departments within MPL such as events, programming, catering, and maintenance, to ensure all aspects of event execution are managed effectively. Responsibilities include determining client requirements, establishing plans to meet these needs, coordinating with internal staff and external vendors, handling billing processes, and creating detailed event orders including room layouts. Additionally, the coordinator will conduct tours for prospective clients, maintain professional client relationships to encourage repeat business, and handle logistical tasks such as setting up and taking down furniture and ensuring the functionality of audiovisual equipment.

Beyond the administrative tasks, the position promotes a culture of community engagement and continuous personal growth with an emphasis on racial equity and social justice. The coordinator is expected to participate actively in various meetings, enhance interdepartmental communication, support reception duties, and perform other duties as assigned. This position demands someone with strong customer service skills, attention to detail, excellent organizational abilities, and proficiency with Microsoft 365 software tools.

Job Requirements

  • Ability to meet transportation requirements
  • Ability to lift/carry up to 50 pounds
  • Ability to reach, bend, and sit and/or stand and walk continuously for long periods of time
  • Ability to work in environments with amplified sound for extended periods

Job Qualifications

  • Six months of experience coordinating events such as library programs, conferences, weddings and banquets
  • Associate's degree or higher in Business Management, Restaurant & Tourism Management, Event Management, Public Administration, or a closely related field
  • Two years of experience in applying customer service methods and practices
  • Computer software skills applicable to the duties of the position including Microsoft 365
  • Familiarity with hospitality, weddings, banquets, conferences, and/or meeting activities and services

Job Duties

  • Plan, coordinate and oversee all phases of assigned events to include advance planning, day-of-event coverage and post-event needs
  • Determine client needs and establish a plan for meeting those needs
  • Maintain a courteous, cooperative and professional manner in all interactions with clients, coworkers, vendors and the general public
  • Coordinate MPL services between staff, clients, vendors and approved caterers
  • Establish positive client relationships by taking actions and providing services designed to maximize customer satisfaction and encourage repeat business for MPL
  • Prepare and distribute event-related information in a concise, professional and accurate manner, including detailed event orders and diagrams of room layouts
  • Conduct tours of the facility for client and prospective clients
  • work with approved caterers and MPL to show facility to prospective clients
  • Provide information for billing activities for assigned events, in accordance with established policies and procedures
  • Set up and take down furniture and work with MPL Maintenance staff to prepare rooms for events
  • work with MPL Information Technology department to make sure audio visual systems are functional for events
  • Foster community through a commitment to continued personal growth, specifically in the areas of racial equity and social justice
  • Actively participate in staff meetings, system-wide meetings, etc
  • Engage with co-workers positively and constructively to help improve processes and communication across our buildings and systems
  • Assist in general reception duties for the Administration Office
  • Perform other duties as assigned
