Sendero Ranch is a distinguished event and hospitality venue located in Beckwourth, CA, renowned for its exceptional food and beverage services and commitment to creating memorable guest experiences. As a well-established ranch that blends rustic charm with modern amenities, Sendero Ranch caters to a diverse range of events, including corporate seminars, offsite group activities, retreats, and private celebrations. The facility thrives on delivering high standards of customer service, seamless event execution, and fostering collaborative teamwork across all departments. The ranch has a dynamic Food and Beverage Team that plays a critical role in the overall guest experience, ensuring that every meal and event detail meets the highest quality standards.

The Event Captain position at Sendero Ranch is a vital role that operates within the Food and Beverage Team as the primary on-site point of contact for daily event operations. This position demands a highly responsive and flexible individual who can effectively coordinate multiple aspects of event management. The Event Captain plays a central role in coordinating room setups, managing event timing, overseeing breaks, and working closely with Operations Specialists to guarantee smooth and successful event execution. This fully on-site role typically requires working hours from 6:00 a.m. to 11:00 p.m., Monday through Friday, and demands physical stamina due to the nature of the work environment, which includes both indoor and outdoor settings.

In this role, the Event Captain collaborates extensively with the Leadership Program team and other Ranch departments such as Maintenance, Housekeeping, Security, and Medical teams to deliver flawless service and swiftly address any arising issues. Effective communication is paramount, as the Event Captain is responsible for relaying information among stakeholders, vendors, the Food and Beverage front-of-house team, and other Ranch personnel. They must remain proactive in monitoring event agendas, participant needs, and venue conditions to ensure every event runs smoothly from setup to completion.

The Event Captain also takes charge of maintaining stock and organization of seminar supplies, apothecary, mercantile, and office materials, updating inventory records, and coordinating supply orders with Operations staff. This demanding position requires excellent leadership, communication, and multitasking skills, along with a strong dedication to delivering outstanding customer service. Ideal candidates will be self-disciplined, open to feedback, capable of adapting to last-minute changes, and comfortable lifting up to 45 pounds and moving furniture as necessary. The ability to operate company vehicles when needed adds to the role’s versatility.

Job Requirements

  • High school diploma or equivalent
  • Previous experience in event coordination or hospitality preferred
  • Ability to work flexible hours including early mornings and late evenings
  • Physical capability to lift 45 lbs and move furniture
  • Valid driver’s license to operate company vehicles
  • Strong interpersonal and communication skills
  • Proficiency in using communication tools like text messaging and WhatsApp
  • Ability to work well under pressure and remain adaptable

Job Duties

  • Collaborates closely with Operations Specialists and the Leadership Program team to ensure successful execution of events and provide the highest level of customer service to all guests
  • Remains apprised of agenda changes to ensure stakeholder satisfaction
  • Stays in close proximity to seminar participants to enable efficient and timely assistance
  • Acts as liaison between stakeholder and vendor partners
  • Monitor and respond to text groups and WhatsApp chats
  • Reset all event spaces before, during, and after seminars
  • Execute seminar setup and closing procedures
  • Attend to seminar and offsite group breaks
  • Maintain organization of seminar, apothecary, mercantile, and office supplies
  • Update inventory spreadsheet as needed and communicate supply needs to Operations staff
  • Work collaboratively with other Ranch teams including Housekeeping, Maintenance, Security, Medical, and Food and Beverage colleagues
  • Help to coordinate and prepare for activities per the event agenda
  • Attend weekly Event Review Meetings when feasible
